Position Summary

We have an exciting opportunity to join our team as a Secretary for the NYU Langone Huntington Medical Group - Huntington. The role involves performing a variety of front-end administrative tasks to support practice operations, including greeting patients, answering calls, scheduling patient appointments, and other duties as needed.

Responsibilities

  • Greets patients professionally in person and on the phone.
  • Answers patient questions or refers questions to the appropriate contact.
  • Optimizes provider schedules and patient access by maintaining efficient scheduling templates.
  • Promotes a positive patient experience in all interactions.
  • Retrieves and updates patient records to ensure availability of treatment information.
  • Verifies insurance information and gathers data needed to schedule and bill for services.
  • Maintains office inventory and equipment by anticipating supply needs and expediting orders.
  • Performs other duties as needed.

Administrative Responsibilities

  • Greet patients and perform intake functions including registration, forms collection, updating information, and co-payment collection.
  • Monitor appointment reports for checkmate items, notes, insurance flags, and patients needing assistance.
  • Gather patient demographic data; obtain and verify insurance information and eligibility; collect referrals when applicable.
  • Advise and/or collect patient and financial documents and policies (HIPAA, NOPP, MSPQ, ABN, Non-Participating, etc.) and obtain signatures where appropriate.
  • Enroll patients above age 5 in Patient Secure; obtain palm scan and photo when applicable.
  • Promote use of Check Mate kiosks and assist patients with kiosk usage as needed.
  • Scan documents into Epic; follow guidelines for uploading external documents to the correct location/order and document type.
  • Report errors or issues with kiosks, devices, or equipment to management for resolution.
  • Monitor waiting areas and communicate wait times.
  • Perform check-out duties including scheduling follow-ups and referrals, providing after-visit summaries, and collecting time-of-service payments; promote MyChart.
  • Answer phone calls professionally; schedule routine appointments and follow-ups; verify and edit demographic information as needed.
  • Address patient questions to ensure understanding and refer to senior staff or billing as needed.
  • Screen calls and route messages appropriately; release medical records per HIPAA and ROI guidelines; document disclosures in the system within a 10-day timeframe; maintain patient privacy per HIPAA standards.
  • Refer inquiries regarding pre-authorizations/certifications to the appropriate area.
  • Manage front-end work queues for missing information and respond to inbasket messages timely.
  • Stay current on best practices, policies, and protocols (including workflow updates and trainings).
  • Maintain cleanliness of personal and patient spaces and restock supplies.
  • Demonstrate knowledge of service standards and incorporate them into duties.
  • Provide forms and letters for patient and provider needs; maintain professional relationships with physicians, nurses, office staff and access center representatives when applicable.
  • Prioritize assignments to complete work in a timely manner amid workload changes.
  • Communicate effectively with physicians, nurses and staff in various formats (in person, phone, written, electronic).
  • Perform other related duties as needed by providers and supervisors.

Minimum Qualifications

High School Diploma required. Excellent organizational, interpersonal, and verbal and written communication skills with strong customer service orientation. Basic knowledge of word processing, spreadsheet, database, and Internet applications. Light, accurate keyboarding skills. Ability to complete multiple tasks efficiently and function well in a team environment.

Preferred Qualifications

Intermediate knowledge of computer-based scheduling and appointment programs is strongly preferred.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency. The salary range for the role is $26.04 - $51,206.48 annually. Actual salaries depend on factors such as experience, specialty, education, and hospital need. The listed range does not include bonuses, differential pay, or other compensation.
