Job Description
Executive Support
- Manage complex calendars, including scheduling meetings across time zones and coordinating internal/external appointments.
- Arrange domestic and international travel, including flights, accommodations, ground transportation, and itineraries.
- Prepare and process expense reports and reimbursements.
- Handle confidential information with discretion and professionalism.
- Serve as a liaison between executives and internal/external stakeholders.
- Draft, format, and proofread legal documents including TOAs (Table of Authorities), TOCs (Table of Contents), pleadings, and correspondence.
- File legal documents with federal and state courts (e-filing experience required).
- Maintain case files and manage document organization for active litigation matters.
- Track deadlines and ensure timely submission of filings and court documents.
- Answer and direct phone calls, manage email correspondence, and handle incoming/outgoing mail.
- Coordinate meetings, conference calls, and video conferences.
- Maintain contact lists and update client information in firm databases.
- Assist with special projects and other administrative tasks as needed.
The Successful Applicant
- Minimum 7 years of experience as a legal secretary, preferably in a law firm setting.
- Prior experience supporting C-suite executives is required.
- Strong litigation support experience, particularly in white collar or regulatory enforcement matters.
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and legal document management systems.
- Excellent written and verbal communication skills.
- Ability to work independently, prioritize tasks, and manage multiple deadlines.
- High level of professionalism, discretion, and attention to detail.
- Familiarity with court rules and procedures in New York and federal jurisdictions.
- Experience with document comparison tools (e.g., Workshare, DeltaView).
- Knowledge of billing and time entry systems (e.g., Elite, Aderant).
- Competitive compensation ($90-110K annually)
