Major Responsibilities:
- Coordinate medical office activities and staff, including training, scheduling, process improvements, and performance monitoring.
- Transcribe medical reports from physicians' dictation and produce correspondence, reports, and memos.
- Attend meetings as recording secretary, distribute agendas and minutes.
- Serve as coordinator for residency, fellowship, clerkship, or educational programs.
- Prepare standard response letters for routine inquiries and procedures.
- Arrange meetings, travel, and coordinate patient visits and procedures.
- Coordinate internal and external meetings.
- Greet visitors and patients, providing standard information and fostering quality customer service.
- Manage patient-care related calls, providing routine information and referring matters appropriately.
- Handle referrals, patient registration, insurance verification, and co-payment collections.
- Process business office paperwork and follow-up on administrative tasks.
- Guide departmental personnel on policies and procedures.
- Maintain confidential files and records, including medical records and academic materials.
- Ensure inventory of supplies and maintenance of office equipment.
- Participate in performance improvement initiatives and ensure compliance with health and regulatory standards.
Position Qualifications:
License/Certification/Education:
- High School diploma
- 6-12 months of specialized medical secretarial/medical office training
Experience/Skills:
- 2-3 years of medical secretarial/administrative support experience
Software used includes Word, Excel, PowerPoint, databases, Medi-Tech, IDX, Lynx, etc.
Equivalent combinations of education and experience may be considered.
Physical Demands and Environment:
Work is sedentary, indoors in a normal office environment.
