Overview
Statistics Department Secretary (part-time/28 hrs per week) at Brigham Young University. This position drives the day-to-day operations of the Department of Statistics, supports faculty in exam administration, and plans and coordinates meetings, seminars, and department events. The role requires organization, attention to detail, and the ability to work both independently and with faculty, students, and university staff.
What You’ll Do
Academic & Course-Related Duties
- Manage class scheduling by coordinating with faculty and administration to ensure accurate course offerings each semester.
- Work within curriculum management software (in collaboration with department leadership and registrar staff) to propose updates to the program curriculum.
- Oversee booklist management, ensuring textbook orders are submitted and updated on time.
- Assist with graduation activities, including coordinating with the college for the graduation reception and processing graduation-related documentation.
- Compile annual reports and unit reviews, collecting department data and ensuring timely submission.
Department Support & Faculty Assistance
- Serve as the primary point of contact for department administration, responding to faculty, student, and external inquiries.
- Provide secretarial support for faculty, including copying materials, delivering tests, and assisting with administrative tasks.
- Manage the department calendar, scheduling important events, meetings, and deadlines.
- Organize and compile key department documents, including rank and status portfolios for faculty review processes.
- Coordinate the design and maintenance of the department website, adding material to increase outreach to students, graduates, and key department supporters.
Meetings, Events, and Student Engagement
- Plan and coordinate department meetings, including preparing agendas, taking minutes, and distributing follow-up materials.
- Support the Office/Business Manager in hiring, training, and supervising front desk student secretaries, ensuring professional office support.
- Implement plans for the Summer Institute for Applied Statistics (SIAS) events, including logistics, communication, and guest coordination.
- Coordinate department seminars, inviting speakers, managing room reservations, handling promotional materials, and organizing refreshments.
- Plan and execute departmental social events, including the annual JSM breakfast, student club meetings, and faculty gatherings.
- Provide administrative support for student organizations, including Stat Club and Mu Sigma Rho, helping facilitate events, funding requests, and communication with department leadership.
Development & University Engagement
- Serve as the employee giving representative, promoting department and college fundraising initiatives.
- Draft and send donor thank-you letters, recognizing contributions to the department.
- Represent the department in college-level service initiatives as assigned.
- Coordinate with BYU Physical Facilities to address facility-related needs.
Other Duties as Assigned
- Complete additional assignments as delegated by the Department Chair or Office/Business Manager to support department operations and strategic goals.
What Qualifies You For This Role

- Ability to manage multiple tasks and projects simultaneously

- Proficiency in office software and learning management systems (e.g., Microsoft Office, Google Suite, Canvas, Learning Suite)
- Ability to work independently while collaborating effectively with faculty, students, and university staff

Pay Range
Pay Grade: 47 | Typical Starting Pay: $18.50 to $23.25 per hour
