Job Summary: Under the direction of the Business Division Manager, the Administrative Services Supervisor is responsible for organizing, directing and supervising the operations, services and personnel of the unit involved in providing centralized clerical and recordkeeping support to Human Services personnel and the department.
Responsibilities
- Essential Duties & Responsibilities: Supervises the day-to-day operations of the administrative support staff, including duties such as: planning, assigning and prioritizing work activities and projects; coordinating staff schedules to ensure proper coverage and proficient customer service; training, orientating and instructing personnel on job responsibilities and duties; conducting performance reviews, creating performance plans and carrying out disciplinary action; onboarding support staff personnel, including applicant selection and conducting interviews.
- Identifies and implements procedures to facilitate program and personnel efficiencies. Review and analyze outcomes, amending as needed. Ensure written policies and procedures are reviewed and updated annually.
- Serves as the Intoxicated Driver Program (IDP) Coordinator, fulfilling duties such as: oversees program operations to assure compliance with state rules and regulations; managing IDP assessors schedule and participate progress, including appointment coordination, documentation requirements, case management, and reporting program compliance to the Department of Transportation; hears assessment appeals and determines appropriate actions.
- Develops, implements and manages procedures to maintain Department’s compliance with applicable federal and state HIPAA regulations and guidelines, particularly regarding access to and use of protected health information.
- Provides backup support regarding electronic medical record system, including duties such as: building production export files, correcting errors from batch reporting, uploading monthly data reports, importing MCI clearance files, drafting change orders/requests, and working with consortium committee, technology services and programmers.
- Monitors Department administrative tasks such as purchasing office supplies and incoming/outgoing mail.
- Provides back-up to the Account technician with credentialing Clinical Staff and contracted Psychiatrists as needed for revalidation of Federal and State certifications for the Human Services Department.
- Provides back-up to the Administrative Assistant in the preparation of Board agendas, reports, and meeting minutes.
- Performs other duties and tasks of a similar level and type, as required.
Work Requirements
- Associate's Degree in Office Management, Business, Accounting or related area or equivalent work experience.
- Three (3) to five (5) years of directly related work administrative support and office management experience.
