Job Responsibilities

  • Follow office workflow procedures to ensure maximum efficiency
  • Maintain files and records with effective filing systems
  • Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings, etc.)
  • Greet and assist visitors when they arrive at the office
  • Deal with customer complaints or issues
  • Monitor office supplies inventory and place orders
  • Assist in client relationship management

Qualifications and Skills

  • Proven experience in a similar role desired
  • Experience in customer service will be a plus
  • Knowledge of office management systems and procedures
  • Outstanding knowledge of MS Office, back-office operations, and a willingness to learn new software
  • Working knowledge of office equipment
  • Excellent communication and interpersonal skills
  • Organized with the ability to prioritize and multi-task
  • Reliable with patience and professionalism
  • Associate's/College degree; BS/BA in business administration or a relevant field is a plus

A good Office Assistant will have excellent time management skills, as they will set and maintain schedules for required projects/clients. Organization and flexibility are important daily. Excellent communication skills, both verbal and written, are required due to interactions with various employees and vendors. The Office Assistant reports directly to the General Manager and is expected to perform in an exceptionally organized and timely manner.
