The Lymphoma Research Foundation seeks an Assistant Office Manager to support its Operations Department. The Assistant Office Manager will play an integral role in supporting the everyday functions of the Foundation and will play a critical role in the overall efficiency and growth of the Foundation.
The Lymphoma Research Foundation seeks a talented non-profit professional eager to grow professionally as its Assistant Office Manager. The position reports to the Director of Operations and is based in the New York City office; please note that that the individual in this role will be required to work in the office weekly Monday-Thursday, and may elect to work remotely on Fridays. The salary range for this non-exempt position is $55,000.00-57,000.00 annually.
Responsibilities
Office Operations & Administration
- Oversee daily office operations, including answering and directing incoming phone calls and emails, managing deliveries, etc.
- Maintain a clean, organized, professional office environment, including the kitchen, supply room, conference rooms, and various equipment
- Coordinate office supply orders for the New York office; fulfilling supply requests for remote staff
- Liaise with building management, including requesting changes to suite security access, work orders, and other office repairs, etc.
- Track administrative-related budgets and assist with invoice processing
- Maintain vendor relationships for office supplies, services, and equipment
- Manage all office materials, including offsite storage and record management processes
- Coordinate logistics for meetings (virtual, in-office, or off-site)
- Assist with regular data hygiene tasks and projects in CRM
- Oversee and respond to internal staff requests in a timely manner
- Manage annual processes for state registration and sales tax exemption filings
- Maintain internal calendars for staff time off requests, events, etc.
Employee Support & Engagement
- Manage internship program, including screening applicants, setting up interviews, and facilitating key program milestones, and continuing engagement post-program
- Assist the Director of Operations with established hiring, on-boarding, and off-boarding processes, including screening candidates, preparing on-boarding materials and presentations, etc.
- Assist CEO and Director of Operations with managing the Board of Directors, including coordinating and assisting with running meetings, taking meeting minutes, and other tasks as assigned
- Assist CEO, COO, and Director of Operations with administrative tasks as needed
- Other projects as needed
Skills and Qualifications
- Bachelor’s degree, previous administrative/operations experience in a non-profit setting preferred
- Customer service oriented, strong interpersonal skills with the ability to work effectively across departments
- Strong work ethic and eager to learn new skills
- Excellent written and verbal communication skills
- Tech savvy with proficiency in Microsoft applications. Previous experience with Raiser’s Edge or similar CRM a plus
- Must be able to life/move boxes/equipment up to 35 lbs
