Job description

  • POSITION TITLE: Executive/Administrative Assistant

  • LOCATION: Brooklyn, NY

  • HOURS: Monday – Thursday, 9:00 AM – 5:00 PM. Friday 9-3pm

  • COMPENSATION: $25 – $35 per hour (based on experience and education)

Responsibilities

  • Provide direct administrative and personal support to the CEO

  • Serve as the first point of contact for customer service calls and emails, ensuring timely and professional responses.

  • Prepare and send customer invoices, track receivables, and follow up on outstanding payments.

  • Coordinate office operations including documentation, compliance reporting, and vendor communications.

  • Assist with ad-hoc projects and research tasks as directed by the CEO.

  • Monitor project deadlines and proactively issue reminders or escalate as needed.

Qualifications

  • Minimum 2 years administrative or office management experience in energy sector

  • Proficiency in Microsoft Excel (formulas, filtering, formatting), Google Drive (Docs, Sheets, Forms), and generally tech-savvy

  • Excellent written and verbal communication skills

  • Strong attention to detail, ability to manage multiple priorities and meet deadlines

  • Familiarity with CRM platforms such as Vertex One, Quickbooks, AirTable, or similar tools

  • Professional and proactive nature
