Overview
We are seeking a polished, professional, and people-oriented Office Assistant to join our New York team in a Temp-to-Perm capacity. Reporting to the Office Manager/Team Lead, this role provides comprehensive administrative and office support while enhancing the client and visitor experience. The successful candidate will work closely with a collaborative admin team (five Executive Assistants plus Reception) and be the first point of contact for senior leadership and external guests.
- Location: New York, NY (Onsite, 5 days per week)
- Schedule: 8:00 AM – 4:00 PM, with some overtime for client events
- Compensation: $34/hr during temp period (approximately 3 months); $70,000–$72,000 + 5% bonus upon conversion
Responsibilities
- Greet, welcome, and manage all guests and visitors in a professional, friendly manner.
- Manage visitor system: arrange building access, issue passes, and direct to meeting rooms.
- Answer and route incoming phone calls; respond to general inquiries.
- Manage meeting room calendars and coordinate room reservations using Outlook.
- Support set-up for internal and external meetings, including technology checks and hospitality.
- Provide absence/backfill coverage for the Admin Team and Facilities Coordinator.
- Assist with office administration: stationery supplies, kitchen pantry inventory, stocking, and upkeep.
- Coordinate vendor relationships, car reservations, and desk bookings.
- Support meeting/event planning projects as assigned.
- Perform other administrative duties as needed to ensure smooth office operations.
Required Qualifications
- Experience: 1–2 years of receptionist, office assistant, or administrative support experience (2+ years preferred).
- Education: High school diploma required.
- Technical: Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint). Outlook experience highly preferred.
- Professional Presence: Strong communication and interpersonal skills with a client-focused, people-oriented approach.
- Organizational Ability: Detail-oriented, able to manage multiple priorities and deadlines under pressure.
