Overview

As an Office Administrative Assistant, you’ll play a key role in supporting the corporate office with both administrative and accounting functions. From greeting visitors at the reception desk to assisting with invoicing, journal entries, bank reconciliations, and addressing accounting issues, this role requires accuracy and discretion. We’re looking for someone who brings strong organizational skills, attention to detail, proficiency in office tools, and the ability to work independently while safeguarding confidential information.

Responsibilities

  • Welcome and assist visitors in a professional and courteous manner
  • Support candidate arrivals for interviews by providing applications, answering related questions, and notifying the interview team of their arrival
  • Manage the timely retrieval and distribution of invoice files, promptly reporting any discrepancies or issues
  • Code invoices to the appropriate general ledger accounts and enter accurate data into the accounts payable system upon approval
  • Assist with accounts payable functions, including vendor communications regarding balances or credits, and perform balancing, auditing, and recording of general ledger accounts
  • Perform errands such as trips to the bank, vendors, or other business-related locations
  • Provide support with various administrative and accounting tasks and projects as needed
  • Other duties as assigned

Qualifications

  • Valid driver"s license and clean driving record required
  • Prior administrative experience
  • Accounts payable experience preferred
  • Proficiency with general office equipment and PC applications (i.e. multi-function copiers, Microsoft Word & Excel, databases, email)
  • Strong organization and time management skills
  • Keen attention to detail with a strong commitment to accuracy and confidentiality
  • Activator/self-motivated to accomplish goals, with a strong sense of responsibility
  • Proven job reliability, diligence, and dedication
  • Teamwork and collaboration
  • Must be able to communicate clearly and professionally with guests, coworkers and supervisors
