Overview

Rhopoint Instruments Ltd is a world leading designer and manufacturer of scientific measurement instruments with a global network of agents and a subsidiary in Troy, Michigan, USA. Rhopoint Americas manages the sales, calibrations and repairs for North and South America, directly and through agents.

We are looking to hire a bright and enthusiastic person to manage the accounts and all aspects of office administration. The role requires high levels of precision and attention to detail, together with strong communication and organizational skills. You will work in a small team and should be able to work unsupervised and take initiative where needed. The successful applicant will contribute as a key member of our busy but friendly office.

Responsibilities

  • Daily book-keeping using QuickBooks software (accounts receivable)
  • Liaising with the company President for administration of accounts payable
  • Collection from net terms customers
  • Monthly bank reconciliation
  • Liaising with credit controller to ensure customers have appropriate credit limits
  • Communicating with customers via email, TEAMS and telephone
  • Maintaining the integrity of customer records on CRM and other systems
  • Liaising with head office for managing inventory (checking and maintaining)
  • Monitoring and purchasing office supplies
  • Ad hoc mailings and marketing support
  • Managing stock quantities and creating purchase orders
  • Shipping out completed orders
  • Liaising with the service department and coordinating communication with the customer
  • Arranging export documentation and keeping accurate records
  • Expediting the payment of pro-forma invoices
  • Maintaining accurate records of demonstration and loan instruments – communicating with end users and expediting returns
  • Taking credit card payments

Qualifications and Skills

Attributes

  • High school education

Experience

  • Solid experience in office administration and a customer-focused role
  • Experience using a CRM database
  • Experience with Zoho CRM platform
  • Experience in shipping, customs & export
  • Experience working in an ISO9001 environment

Skills

  • QuickBooks
  • Good working knowledge of Microsoft Office packages (Excel, Word, Outlook)
  • High degree of accuracy and attention to detail
  • Organised
