The Night Auditor balances all hotel and restaurant transactions daily and assists guests efficiently, courteously and professionally in all Front Desk-related functions providing excellent guest service.

Responsibilities

  • Provide the highest quality of service to the guest at all times and anticipate and exceed guest expectations. Know and live the mission, White Lodging Service Pledge, and the Brand’s service strategy. Understand the White Lodging Way.
  • Complete all Guest Service Representative functions in addition to accurately recording all revenue and statistics, completing daily and Housekeeping reports, and segmenting room and house reports to proper markets.
  • Always answer telephone within three rings with a smile and answer questions accordingly or transfer as needed.
  • Respond to all pages/radio calls immediately.
  • Responsible and accountable for the issued bank; count bank at beginning and end of shift.
  • Report all cash over/shorts to management and comply with hotel and department accounting procedures; consistently follow cash handling procedures.
  • Open and close shift correctly; make cash drops in accordance with proper cash handling procedures.
  • Complete basic mathematical calculations including addition, subtraction, multiplication and division.
  • Read, analyze, interpret and explain items such as common reports, guest folios and emergency procedures.
  • Audit guest accounts to ensure room rate and coding are correct and consistent; audit house accounts and group accounts to ensure postings align with contracts.
  • Post room and tax to all active guest accounts.
  • Run computer reports to complete gross revenue report worksheets; input and finalize gross revenue report figures in a timely manner.
  • Communicate and work as a team with other departments as needed.
  • Handle guest mail, messages, faxes and safe deposit boxes following established procedures.
  • Balance credit cards, cash, and change funds throughout each shift; safeguard the Front Desk bank.
  • Develop knowledge of hotel room locations, rates, amenities, selling strategies, discounts and guest program benefits.
  • Refer guests to hotel outlets to maximize revenue and connect guests to local attractions and services; safeguard guest confidentiality.
  • Retrieve guest packages and communicate with incoming staff and management by recording information on pre-shift boards.
  • Inform management of any guest or system-related problems; print and place guest folios for express checkout as appropriate.
  • Organize the Front Desk area to support morning staff; report problems regarding finances, audits, guest relations and security promptly to the appropriate manager.
  • Reconcile daily gift shop revenue and restock as necessary; operate hotel van if applicable.
  • Protect the hotel’s assets and ensure security of guest and hotel information.
  • Maintain a clean and orderly work area; participate in pre-shift and daily tasks; attend work on time and follow attendance policy.
  • Follow Service Recovery/Defect Tracking processes; input defects into the computer system and resolve guest issues; follow safety procedures and use protective equipment as required.
  • Wear uniform with nametag as per standards; communicate effectively with guests, associates and managers; promote teamwork and guest satisfaction.
  • Maintain knowledge of hotel property, services, hours of operation, and surroundings; adhere to company policies and emergency procedures; complete required trainings.
  • Follow proper key control procedures; work nights, weekends and holidays as necessary; perform other duties as assigned.

Education/Experience: None required.

Skills: Must pass certification quiz/test for the position.

Working Conditions
