Key Responsibilities
- Office Operations : Manage day-to-day office activities, including space planning, facilities management, and vendor coordination. Ensure the workplace is safe, organized, and compliant with company policies and regulations.
- Administrative Support : Provide executive-level administrative support as needed, maintaining discretion with sensitive information and ensuring seamless coordination of meetings, events, and correspondence.
- Vendor & Budget Management : Oversee vendor contracts, purchasing, and inventory to ensure cost-effectiveness and efficiency.
- Workplace Experience : Support a welcoming environment by managing reception, mail, office supplies, and food and beverage services. Coordinate logistics for meetings, events, and employee engagement initiatives.
- People & Culture : Partner with HR to support onboarding, employee engagement, and office culture programs. Act as a point of contact for employee questions and concerns related to office operations.
- Process Improvement : Identify opportunities to streamline workflows, improve efficiency, and enhance the employee experience.
- Leadership : Work independently while keeping leadership informed, proactively solving problems, and ensuring smooth operations across the organization.
What We’re Looking For
- Proven experience (3–5 years) as an Office Manager or in a senior administrative role.
- Strong leadership and organizational skills, with the ability to manage multiple priorities in a fast-paced environment.
- Excellent communication and interpersonal skills.
- Proficiency with office systems and productivity tools (Microsoft Office, Google Workspace, Slack, Notion, etc.).
- Strong problem-solving skills with attention to detail and initiative.
- Professional demeanor and ability to handle confidential information.
