Insight global is assisting a marine engineering client of ours in identifying a resourceful and detail-oriented Office Administrator to oversee and optimize our daily operations. This role is pivotal to maintaining a productive and organized work environment, supporting both leadership and staff, and ensuring that administrative processes run efficiently. You'll be the go-to person for all things operational-from coordinating schedules and managing supplies to supporting HR and finance functions

Responsibilities

General administrative: Support to office staff and management - organize and manage meeting logistics, including scheduling, agenda preparation, and minute-taking. Booking venues and arranging catering when needed

Travel: Coordinate domestic and international travel arrangements for staff, including flights, accommodation, and transportation

Document Management: Maintain accurate records, handle confidential files, and ensure compliance with data protection policies

Finance Support: Assist with invoice processing, budget tracking, and expense reporting

HR Assistance: Support onboarding/offboarding processes and coordinate training sessions

Office Supplies & Vendor Relations: Monitor inventory, place orders, and liaise with external vendors and service providers

Facility Oversight: Ensure the office environment is clean, safe, and well-maintained; coordinate repairs and maintenance as needed
Information classification: RESTRICTED

Communication Hub: Serve as the first point of contact for internal and external inquiries, ensuring professional and timely responses

Process Improvement: Identify opportunities to streamline workflows and implement best practices

Required Skills & Experience

Minimum 5 years of experience in office administration or a related role

Proven startup pace experience

Used to wearing multiple hats

Strong organizational and time-management skills

Excellent communication and interpersonal abilities

Proficiency in Microsoft Office Suite and familiarity with office management software

Nice to Have Skills & Experience

High school diploma required; associate or bachelor's degree preferred
