The Office Manager’s primary function is to oversee day-to-day administrative operations and ensure smooth office workflow and demonstrate the ability to meet performance expectations. The Office Manager will work closely with other team members to ensure efficient office flow. Growth opportunities are readily available based on performance. Key Responsibilities and Accountabilities:

  • Oversee day-to-day office operations and workflows of front desk staff ensuring smooth and efficient front office operations. This includes handling communications with building management, accepting and mailing deliveries, office and kitchen inventory and order processing, and management of office maintenance schedules.
  • Coordinate appointments and schedules of vendors with a goal of limiting office disruptions to allow continuous workflow within the workplace.
  • Coordinate office moves and new setups and seating arrangements in partnership with internal teams and manage office floor plan.
  • Plan and execute offsite special events as needed (book hotels, restaurants, activities, and outings for large groups).
  • May occasionally run miscellaneous errands in support of office activities or leadership requests.
  • Maintain administrative records, including but not limited to invoices, contracts, and insurance policies.
  • Maintain off-site business storage, including an up-to-date inventory.
  • Coordinate with the IT Administration on physical access rights and key management for staff and vendors.
  • Ensure office cleanliness, safety, and functionality across all locations and ensures all offices follows HIPAA/OSHA compliance
  • Assist in planning and organizing company events, meetings, and team-building activities.
  • Manage daily operational needs including supply orders, maintenance requests, and technology.
  • Schedule and coordinate appointments, meetings, and conference room bookings.
  • Provide additional administrative support to the Human Resources department and other personnel as needed
  • Oversee annual filings and licenses (SunBiz, state/county registrations).
  • Renew and manage leases, vendor agreements, and office subscriptions.
  • Empty desk/workspaces of employees who leave & route any materials left to new handling team

Training, Knowledge, Skills, and Abilities:

  • Proficient in MS Office.
  • Strong verbal and written communication skills with excellent interpersonal skills.
  • Ability to be flexible with ever changing tasks and resourceful.
  • Positive, tenacious attitude in a fast-paced environment.
  • A self-motivated, self-starter that works well independently.

Education Requirements:

  • Bachelor’s degree in Business Administration or related field is preferred

Work Experience Requirements:

  • 3-5 years of related experience
  • Proven leadership experience in office management or administrative leadership role.

Physical Demand:

  • Must be able to remain in a stationary position for most of the workday at a desk (estimated to be at least 80% of the time).
  • Constantly operates a computer and other office productivity machinery.
  • May need to move boxes, office supplies, and other items up to 25lbs. within the office and to/from storage locations.
  • The person in this position will frequently need to communicate verbally over the phone and in person with employees, management staff, partners and vendors.
