JOB TITLE SUMMARY

Job Title: Online Team Manager, Financial Aid

Division: Enrollment and Marketing

Evaluation Group: Staff Administrator

FLSA Status: Exempt

Reports To: Director, Financial Aid

Positions Supervised: Online Financial Aid Advisors

Job Summary

The online team manager, financial aid oversees the timely and accurate processing and awarding of financial aid grants, loans, scholarships, and work programs for a select population. This role also serves as the primary point of contact for students and families, providing skilled advising through multiple communication channels. In addition, the online team manager troubleshoots complex issues and performs select financial aid functions, including SAP monitoring, Professional Judgments, R2T4 calculations, and awarding NCAA Division I Athletic Awards.

Job Responsibilities and Execution
  • Counsels students and parents of assigned population on financial aid eligibility for grants, loans, scholarships, student employment, and payment options
  • Monitors progress of FAFSA completion for assigned population
  • Initiates outreach to students/parents to provide guidance on completing financial aid requirements
  • Provides skilled financial aid advising via email, phone, and virtual platforms
  • Maintains contact with students throughout the financial aid cycle to ensure all financial aid funds are in a 'ready to pay' status
  • Monitors financial aid applications for assigned population to ensure students are packaged accurately and efficiently
  • Performs verifications, resolves C codes, and reviews conflicting information and comment codes to determine the eligibility of financial aid applicants
  • Works with students/parents to resolve rejected ISIRs
  • Awards financial aid per federal, state, and institutional policies
  • Resolves aid processing, certification, and disbursement issues and assists with reconciliation of fund sources
  • Identifies and processes financial aid adjustments based on enrollment changes
  • Runs Expected Cash Flow reports to manage student receivables
  • Performs Return of Title IV (R2T4) funds calculations for withdrawn students
  • Monitors select student population for maintaining standards of Satisfactory Academic Progress
Leadership and Strategic Thinking
  • Participates in developing financial aid processes, policies, and procedures that improve efficiency and quality of service provided to students
  • Works in conjunction with other departments to resolve student aid issues including collaboration with Student Accounts to resolve unpaid student balances
  • Assists in preparing for financial aid audits
  • De-escalate student issues
  • Establishes long- and short-term strategic goals based on assessment data and ensures standards for the department and its field are met or exceeded
  • Adapts and modifies leadership based on new information and/or data; works to set and unite people on the new direction
  • Utilizes effective strategies to build collaboration for maximum execution
  • Aligns division/department purpose and actions with relevant University initiatives and higher education trends
Employee Management and Development
  • Supports the mission of the University and serves as an ambassador of the Q2 culture of service excellence
  • Models, supports, and holds others accountable to the University's values
  • Recruits, interviews, recommends, welcomes, observes, and monitors performance of department staff
  • Sets clear performance expectations and holds employees accountable
  • Conducts annual employee evaluations based on evidence, observation, and feedback

Required Qualifications - An equivalent combination of education, training, and experience will be considered. Additional requirements may be designated by position.
  • Bachelor's degree
  • Minimum of 3 years' financial aid experience, including compliance, award processing, SAP, R2T4, etc.
  • 1-2 years' management/supervisory experience preferred

  • Proficiency with general office software, including Microsoft Office Suite and financial aid systems (COD and NSLDS)

  • Occasional evening, weekend work, and travel may be required
