Overview

The Salvation Army’s Worcester Citadel is hiring an Office Manager. Location: 640 Main St., Worcester. Pay Range: $21-$22 per hour. Schedule: 40 hours per week (Monday – Friday, 8:00am – 4:00pm).

Support the Corps Officers in all areas, including maintaining and coordinating calendars, receiving and processing phone calls and other communications (i.e., emails), coordinating and managing projects as assigned, and filing and organizing records.

Qualifications

Education Requirements
High School Diploma or equivalent required; Associate or Bachelor’s Degree preferred.

Work Experience
2 to 4 years of experience working in an office as an administrative assistant, with office management skills, preferred. Experience working with the homeless preferred.

Other Qualifications
Have ability to work in an office with professional staff from diverse backgrounds. Must be organized, able to coordinate complex schedules, events, and communications. High integrity and mature approach. Excellent computer skills with Microsoft Office and/or appropriate desktop applications. Valid MA Driver’s license and use of official vehicle may be required. Problem-solving ability. Ability to handle confidential information and work well with people. Must be able to read, write, and communicate in English. Bilingual proficiency beneficial but not required.

Duties & Responsibilities

  • Ensure all permits (building, vehicle, etc.) and vendor lists are correct and up-to-date.
  • Handle incoming and outgoing mail, check answering machine and respond to messages in a timely manner. Answer phones and greet/direct clients and guests professionally.
  • Maintain daily office tasks and keep files organized; assist with agendas, minutes, and electronic correspondence per Salvation Army practices.
  • Ensure Salvation Army owned vehicles are properly maintained, including inspections, registration, mileage logs, and weekly cleaning/vacuuming.
  • Collect and compile statistics from Department Heads accurately and timely.
  • Collaborate with the Social Services Ministries Manager to input online food and supply orders to the Food Bank and other sources; assist with pickup/delivery and efficient handling of food donations.
  • Inventory and maintain stock in the office supply closet.
  • Assist Corps Officers and Directors with Seasonal Programs.
  • Assist with training and supervision of volunteers.
  • Perform clerical duties (photocopying, faxing, mailing, filing, typing) and take minutes as requested.
  • Setup and coordinate meetings and conferences when needed.
  • Process payroll, vendor receipts and related forms/reports to be sent to Divisional Headquarters.
  • Respond to donations with thank you letters/cards (monetary or gifts-in-kind).
  • Prepare Sunday church bulletins and maintain calendars and schedules of events as requested.
  • Perform other related duties as requested.
