ABOUT THE ROLE
We are seeking a highly capable Office Manager to oversee all tag and title operations, manage post-sale customer care, and serve as the primary liaison between our dealership and outside shops to push vehicles through the get-ready process. You will also work closely with our lot attendants to keep inventory moving efficiently.
This is not a basic clerical role — it’s a leadership position that requires independence, strong problem-solving skills, and a high sense of urgency. The Office Manager will balance administrative precision with operational follow-through, ensuring both compliance in paperwork and speed in vehicle readiness.
Because we are a small, family-run dealership, this Office Manager position will be hands-on and dynamic. You’ll wear multiple hats: ensuring compliance in documentation, managing customer relationships, keeping vehicles on track for sale, and maintaining smooth office operations.
You will report directly to the Director of Operations and play a central role in keeping our dealership efficient, compliant, and customer-focused.
WHAT YOU’LL DO
Tag & Title Leadership
- Own all tag and title transactions (temp/permanent tags, duplicate titles, dealer registrations, lien releases).
- Maintain strong relationships with the MVA, DMV, and tag/title agencies.
- Proactively follow up with customers and lienholders on outstanding issues.
- Identify and efficiently solve any issues holding up delays in tag and title work.
Customer Service & Post-Sale Support
- Serve as the primary contact for customer issues after delivery.
- Coordinate with local shops and vendors to resolve mechanical or paperwork issues quickly.
- Deliver an experience that leaves customers confident and cared for, even after the sale.
Vehicle Reconditioning / Get-Ready Management
- Act as the primary point person between the dealership and service shops to keep vehicles moving quickly through reconditioning.
- Coordinate with lot attendants to ensure inventory is staged, tracked, and progressing efficiently.
- Identify bottlenecks and implement solutions to keep vehicles front-line ready with minimal delays.
Office Operations & Administration
- Maintain accurate documentation for all inventory and sales.
- Handle lien payoffs and paperwork for retail and Buy Here, Pay Here (BHPH) transactions.
- Oversee office organization, supplies, and front-office professionalism.
- Support the Director of Operations with clerical, accounting, and project-based tasks.
- Supervise workflow of our virtual assistant and lot attendants.
Financial & System Management
- Process BHPH paperwork, customer communications, and collections as needed.
- Ensure inventory management systems and internal records are accurate and up to date.
QUALIFICATIONS
- Proactive problem solver with a high sense of urgency — you don’t wait for issues, you anticipate and resolve them.
- Experienced in tag & title processing (multi-state knowledge preferred; Maryland/DC/VA required) OR incredibly detail oriented and a quick learner.
- Customer-first mindset with excellent communication skills.
- Strong organizational skills and ability to manage multiple priorities under pressure.
- Experience working with or coordinating outside service shops is a plus.
- Computer proficiency (DMS systems, MS Office/Google Suite; social media knowledge a plus).
- Automotive experience strongly preferred; BHPH knowledge is a plus.
- High school diploma or GED required; additional education a plus.
- Bilingual (Spanish/English) highly valued.
SCHEDULE
- Monday – Friday | 8:30 AM – 5:00 PM
- There may be some occasions where you work a Saturday to provide office coverage, and the training schedule will include some Saturdays to get a sense for dealership operations on Saturdays. If the ideal candidate prefers to work Saturdays and take a day off during the week, we can be flexible in this arrangement.
