Position Location: Washington, DC. U.S. Citizenship is required due to government contract requirements and/or clearance requirements.
Overview
Under the guidance of the onsite Government management team, the Administrative Assistant performs a variety of administrative and secretarial functions for the Director or Assistant Directors. The role includes coordinating a large volume of information, maintaining schedules and confidential information, and ensuring deadlines are met.
Responsibilities
- Answer incoming calls in a professional manner; forward messages or resolve calls as warranted.
- Organize, type, collate, and file sensitive material.
- Maintain the Agency/Center and Director calendars, guest log, appointments, and activities.
- Review incoming documents and take appropriate action or distribution.
- Track and monitor the status of memoranda, correspondence, and taskers.
- Inform personnel of overdue items and upcoming deadlines; format and follow department procedures for processing documentation.
- Assist with travel arrangements using online Travel Manager System.
- Prepare briefing materials and compile reports; prepare written communications using MS Word, PowerPoint, Publisher, Excel, and SharePoint.
- Provide support to other projects or tasks as required; receive deliveries and arrange outgoing shipments.
- Stock and maintain photocopy and facsimile machines and supplies; manage incoming/outgoing administrative mail.
- Maintain awareness of internal security and adhere to restricted area policies.
Qualifications
- Types at least 50 words per minute with minimal errors.
- Ability to adapt to procedural changes and work independently at various organizational levels.
- Strong organizational, time management, and attention-to-detail skills.
- Ability to manage multiple MS Outlook calendars for personnel, leave, training, and conference rooms.
- Excellent written and oral communication skills; ability to draft memoranda and reports.
- Ability to analyze facts, evaluate information, and draw conclusions; ability to interpret regulatory material such as the Foreign Affairs Manual Volume III (FAM-Personnel).
- HS Diploma (2-year college degree preferred); 3+ years of experience with office software (MS Word, Excel, PowerPoint, Publisher, Outlook) and 2+ years as an Administrative Assistant in an office environment; 1 year of executive-level support preferred.
- Demonstrated experience with document management, preferably for a legal department or similar office; ability to prioritize and organize multiple workflow duties.
Compensation and Benefits
Hourly Rate: $27.86/hour. CGI offers benefits to eligible professionals, including participation in a Share Purchase Plan (SPP), 401(k) Plan, and other benefits determined by service contracts. Benefits may include Paid Time Off, paid federal holidays, and health and welfare benefits.
