Overview
The Receptionist role at Advocates provides general office support with clerical duties, maintains a welcoming environment, answers calls, directs calls, handles mail and supplies, and performs related tasks. This position is on site at the main office in Framingham, MA, with a Monday through Friday schedule from 8:00 am to 4:30 pm. $20/hour.
Minimum Education Required: High School Diploma/GED.
Responsibilities
- Open and close the office daily; keep reception area, conference rooms, and kitchen areas neat and in order.
- Answer all incoming calls and direct callers to the appropriate individuals; provide information such as company address, directions, fax numbers, and website.
- Greet and direct visitors to the agency.
- Maintain conference room schedules for the corporate office.
- Receive, sort, and forward incoming mail; stamp and prepare outgoing mail.
- Coordinate pick-up and delivery of express mail services.
- Distribute checks to employees and clients; ensure checks are properly signed out.
- Process daily deposits for accounts receivable and allocate funds to correct cost centers (rent, transportation fees, donations, program funds).
- Manage ordering, receiving, stocking, and distribution of office supplies; work with providers.
- Monitor office supply budgeting and spending across cost centers.
- Attend meetings with vendors as required.
- Assist with clerical duties such as photocopying, faxing, and collating.
- Participate in supervision and team meetings; assist with meeting set-ups, preparation, and transcription.
- Update the office directory on an ongoing basis.
- Ensure that individuals supported are treated with dignity and respect in accordance with Advocates’ Human Rights Policy.
- Perform all duties in accordance with the agency’s policies and procedures; adhere to the Advocates Way principles.
Qualifications
- High School Diploma or equivalent and 1 year of experience in a customer service environment.
- Strongly prefer demonstrated understanding of and competence in serving culturally diverse populations.
- Excellent verbal and written communication skills. Familiarity with American Sign Language and/or willingness to learn is preferred.
- High energy, strong interpersonal skills, and ability to work in a team.
- Strong computer knowledge; must be able to read and speak English.
- Ability to perform each essential duty satisfactorily.
