JOB TITLE: Dispatcher/Receptionist

WAGE/HOUR STATUS: CP2/197 Days

REPORTS TO: Director of Transportation

DEPARTMENT/SCHOOL: Transportation

JOB DESCRIPTION/PURPOSE: Coordinate assignments and schedules of bus drivers, routes and vehicles to ensure safe efficient and economical transportation services. Schedules and assigns vehicles and drivers for all extra-curricular trips. Ability to research all students using electronic routing software. Communicate transportation information to parents via the telephone or assist walk-in inquiries. Ability to work with parents, campuses and transportation personnel on day-to-day operations. This includes generating and covering routes, field trips, dispatching, and responding to telephone and walk in inquiries.

QUALIFICATIONS: Education/Certification: High school diploma or GED; must be a minimum of twenty-one (21) years of age; bilingual; clear criminal history check.

SPECIAL KNOWLEDGE/SKILLS: Effective telephone; radio and communication skills; ability to receive and give verbal instructions effectively; ability to use a personal computer to do word processing, databases, and spreadsheets; ability to read and interpret documents; proficient map reading skills; ability to use specialized computer programs dealing with transportation routing, planning, student information, trip scheduling; ability to multi-task and prioritize workflow; must have excellent phone etiquette, a positive attitude, and the ability to work as a team player.

MAJOR RESPONSIBILITIES AND DUTIES: Assist and handle assignments of bus drivers, bus routes, vehicles, substitutes for morning and afternoon shifts; Coordinate extracurricular transportation for the district; report vehicle breakdowns to transportation personnel for prompt and immediate action; coordinate and schedule all regular and summer school routes; keep daily logs of activities; dispatch drivers and vehicles and communicate with them using a telephone and two-way radio; communicate with students, parents; staff and community about transportation; interact with special program administrators and school officials concerning routes and extra -curricular trips; assist schools with new student bus placement and advise drivers of new or dismissed students; ability to coordinate, schedule and dispatch field trips and other activities.

RESPONSIBILITIES AND REQUIREMENTS: Responsible for the timely departure of all routes, field trips and other trips to ensure the timely arrival of buses at the destination as per instructions and/or route schedules; maintains and periodically updates the master file route sheets and maps; maintains accurate records for preparation of various state reports; participate in staff development training programs to improve job performance; participate in faculty meetings and special events as assigned.

SUPERVISORY RESPONSIBILITY : None

EQUIPMENT USED: Personal computer, general office equipment (i.e. copier, fax, telephone,) and radio equipment.

WORKING CONDITIONS:

Mental: Effective communication; work with frequent interruptions; ability to maintain emotional and professional control in all circumstances. Ability to handle extremely stressful situations.

Physical Demands/Environmental Factors: Moderate walking, standing, climbing, stooping, bending, reaching, heavy lifting and carrying.
