Overview
Executive Assistant role at NRG Energy. This position provides administrative and operational support to the Vice President, Power Trading and the Power Directors, and the broader department, ensuring alignment with executive priorities and departmental coordination.

Responsibilities
- Serve as the primary liaison for the Executive, with daily review of priorities, schedules, and tasks (in person, virtual, or phone).
- Monitor and manage communications and assignments on behalf of the Executive, including coordination with direct reports.
- Provide comprehensive administrative support, including calendar management, scheduling meetings, prioritizing communications, and maintaining filing systems (digital and physical).
- Draft and prepare correspondence, reports, and executive-level presentations (including PowerPoint decks with charts/graphs) aligned with company standards.
- Review incoming materials to stay informed of ongoing business, project updates, and operational developments.
Travel & Event Coordination
- Coordinate travel arrangements for the Executive, PDs, and department staff (air, hotel, ground transportation, meeting rooms).
- Act as primary liaison with external travel providers and internal staff to resolve travel-related issues.
- Plan and execute departmental events and off-site training logistics (e.g., coordinating training with ERCOT for the West Desk).
Reporting & Planning
- Support Business Continuity Planning (BCP) efforts in collaboration with relevant stakeholders.
- Maintain organizational charts.
- Prepare recurring reports including: CEO earnings commentary, weekly departmental commentary reports, and regular cybersecurity updates.
Financial & Procurement Support
- Manage and reconcile expense reports; track departmental expenses in real time and ensure alignment with corporate records.
- Process purchase orders in SAP; collaborate with Procurement to ensure policy compliance.
- Review and process invoices for timely payment approvals.
- Coordinate with IT and Supply Chain for data and publication subscriptions.
Operational Support
- Prepare meeting packages, including agendas, itineraries, and materials.
- Act as departmental timekeeper, ensuring accurate and timely reporting of hours.
- Order and manage office and departmental supplies as needed.
- Build and maintain positive relationships across all levels of the organization and with external partners.
Education
- Bachelor’s degree preferred, with a minimum of 3+ years of administrative experience. Experience handling confidential information is required.
Additional Knowledge, Skills And Abilities
- Strong verbal and written communication with all levels of internal and external customers in a professional manner.
- Ability to coordinate with others and work independently; requires critical thinking and judgment.
- Notary certification is preferred or willingness to become certified and maintain notary ability.
- SAP experience is a plus.
- Microsoft Office: strong Word and PowerPoint; proficiency in Excel is a plus; familiarity with Adobe Acrobat (PDFs).
- Ability to independently create professional letters, memorandums, reports, tables, and presentation slides.
- Ability to prioritize and manage multiple complex projects and deadlines with attention to detail.
Physical Requirements
- Occasionally required to lift items as appropriate to perform duties.
Working Conditions
- Primarily an office environment. Travel to other office or power plant locations will be occasional.
