PRIMARY PURPOSE/GENERAL DESCRIPTION:

The Human Resources Coordinator is the heart of daily HR operations, managing employee records, payroll support, reporting, and data integrity while also providing crucial support to our dedicated Student Workers throughout their CGU journey. This role demands a comprehensive understanding of HR practices, payroll, international student employment considerations, and general administrative duties, requiring independent work to ensure the smooth execution of HR projects. Reporting directly to theDirector of Human Resources, the position plays a pivotal role in maintaining HR operations from beginning to end. The position combines HR expertise with administrative finesse, strong reporting/data management skills, and knowledge of international visa requirements (F-1, J-1, etc.).

This is a

temporary, one-year appointment

with the potential for extension based on institutional needs.

DESCRIPTION OF DUTIES AND RESPONSIBILITIES

:

ESSENTIAL FUNCTIONS

:

Student Employment Orchestrate the complete student employment cycle. Oversee hiring and termination processes, ensuring compliance and a positive environment for student employees. Develop and manage performance evaluation forms for student employees. Maintain the New Hire Student Handbook to guide supervisors and students on workplace rules and policies. Employee File Management

Coordinate filing and audit processes for both current and terminated employee files. Ensure accuracy, completeness, and data integrity in maintaining employee records. Perform data cleanup activities to ensure records are up to date and compliant. Payroll and Time & Attendance

Serve as primary back-up to the Payroll Coordinator. Once a quarter, process bi-weekly payroll on behalf of the Payroll Coordinator in coordination with TCCS payroll. Prepare and process all payroll documents required to complete payroll, including interim or special payments, as needed. Prepare and input annual salary changes for faculty, staff, student, and temporary employees. Support departmental auditing of monthly and bi-weekly payroll to ensure adherence to policies, employment laws, and procedures. Ensure all hourly employees are entered accurately into HR and time & attendance systems (Workday). Troubleshoot time & attendance and payroll questions; communicate with supervisors to ensure compliance with wage and hour laws. Audit claims regarding missing wages. Conduct training for supervisors, staff, and students on payroll, HR processes, and time & attendance procedures. Maintain strong knowledge of the University's time and attendance system (Workday). HR Responsibilities & General Administration

Administer recruitment and onboarding for staff, student workers, and temporary positions in Workday from start to finish. Respond to inquiries and serve as the first point of contact, referring visitors to appropriate HR staff members as needed. Run various reports to audit records and respond to data requests. Troubleshoot Workday login issues and provide support for users. Administer Unemployment Insurance claims. Manage training across CGU for all staff and faculty in the Training Platform and OPTUM. Keep current on HR-related news, laws, and updates; ensure compliance with required legal posters and postings. Assist on special projects as needed. Financial Duties

Process and pay invoices promptly to maintain financial accuracy within HR operations. Organizational Structure

Maintain the organizational chart (ORGT) to reflect the current structure of the organization. Ensure updates are accurate and supported by clean data. Continuous Improvement

Actively seek opportunities for process improvement in HR functions. Lead data quality initiatives, ensuring HR data is reliable for reporting and compliance. Special Projects

Assist on projects requiring reporting, analysis, and data validation. REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

Strong skills in payroll processing, time & attendance systems (Workday), and payroll auditing. Strong skills in data reporting, data cleanup, and data integrity management. Knowledge of international student employment regulations and visa types (F-1, J-1, and related categories), tax treaties. Ability to maintain strict confidentiality when handling personnel, payroll, and student information in compliance with FERPA and CGU data privacy requirements. Proficiency in Excel (including pivot tables and formulas), HRIS reporting tools, and data visualization software (e.g., Power BI, Tableau). Excellent time management skills, including the ability to prioritize tasks effectively. Strong attention to detail, organizational skills, and a commitment to accuracy. Superior multitasking abilities in a fast-paced environment. Excellent written and verbal communication skills. Ability to work well in a diverse work environment. QUALIFICATION STANDARDS

Education:

Bachelor's degree, or any combination of education and experience that provides the required knowledge, skills, and ability.

Experience:

One to three years of HR experience; payroll processing and HRIS reporting experience strongly preferred. Experience with international student employment is highly desirable.

Systems Knowledge:

PeopleSoft, Workday, and third-party systems such as Vector training modules preferred.

HOURS & STATUS

Standard work hours:

8:30 AM to 5:00 PM, Monday through Friday (37.5 hours/week). Onsite position. Classification:
