Job Description:
The Crew Support department plays a vital role in the 24/7 Transplant Logistics Command Center located in Andover, MA. Leveraging deep knowledge of aviation operations and internal processes, this team ensures smooth and efficient logistical coordination for all flight crew members. Responsibilities include arranging essential travel accommodations such as hotel bookings, ground transportation, and flight itineraries, with a strong focus on fatigue mitigation and operational efficiency.
By managing these logistics seamlessly, Crew Support contributes directly to the well-being and readiness of flight crews, supporting high performance during time-sensitive, life-saving missions.
This is a dynamic position that requires flexibility, attention to detail, and a strong sense of commitment. Crew Support works approximately 15 twelve-hour shifts per month on a rotating schedule: 4 days on, 3 days off, followed by 3 days on, 4 days off - including nights, weekends, and holidays.
ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO: Book and confirm commercial airline tickets, hotel reservations, and rental car reservations for crew members. Serve as primary point of contact for crew inquiries, providing timely and effective support and resolution. Provide on-call assistance to crew members during rotations, addressing requests and ensuring operational continuity. Manage crew scheduling tasks such as tracking duty status, call-outs, and on/off duty times. Maintain accurate records of reservations, crew details, and airline ticket credits for future use. Assist schedulers with coordination of aircraft accommodations (e.g., hangar space, late arrivals). Ensure adherence to all company policies, safety protocols, and regulatory requirements, including full understanding of Part 91/135 operations. Participate in special projects and complete additional tasks as assigned by department leadership. Support general operational needs across departments, contributing to TransMedics' mission and team efficiency. BACKGROUND AND QUALIFICATIONS:
Prior experience in aviation, crew management, or customer service required. Strong personal and work ethics along with a high level of integrity. Working knowledge of FAA regulations related to Part 91/135 operations. Strong interpersonal, organizational, and leadership skills. Ability to work under pressure, manage multiple priorities, and meet tight deadlines. Must be self-motivated, detail-oriented, and capable of working both independently and as part of a team. Strong decision-making and problem-solving abilities. Excellent verbal and written communication skills delivered with professionalism. Proficient in basic math calculations, including decimals, time conversions, as well as a 24-hour clock format, and UTC. TECHNICAL SKILLS:
Proficient with Microsoft Office (Word, Excel, Outlook, PowerPoint), SharePoint, and internet navigation. Proficiency in using industry-specific software and tools with the aptitude to learn new software. Familiarity with travel management systems such as AmTrav or similar platforms. EDUCATION:
High school diploma required; Associate's degree preferred. Prior experience in Part 135 operations or aviation industry required. MANAGEMENT RESPONSIBILIES:
This position manages the following positions on a daily basis.
This position will not have management responsibilities. PHYSICAL ATTRIBUTES:
General office environment sitting for extended periods at a computer. Use hands and fingers for typing and operating equipment. Have good vision and hearing to communicate with staff. Possess basic organizational skills to manage complex schedules.
