Position Summary

Glenbard Township High School District 87 is seeking a qualified candidate to perform duties and responsibilities necessary to support the district's educational program by coordinating and maintaining the substitute teacher pool to cover licensed staff absences. This includes, but is not limited to, assisting with the recruitment, interviewing, securing new hire paperwork, issuing contracts, entering information, and training. Additionally, this position will liaison with Teaching and Learning to on-board all Summer School staff.

Qualifications

Associates degree or equivalent work experience as an administrative assistant (2 year experience equals 1 year education) Knowledge of Red Rover Advanced skills in computer applications, including Microsoft Office, Excel, Word; and G-Suite cloud computing for email, calendar, docs, sheets, etc. Professional demeanor and the ability to maintain highly confidential information Ability to exercise good judgment and logical thinking in problem-solving Excellent written and verbal communication skills Ability to work both independently with minimal supervision and collaboratively as part of a team Demonstrated ability to build and maintain positive relationships Strong organizational skills and detail minded Ability to multi-task and adopt to constantly evolving procedural or policy changes Knowledge of the latest HR best practices to improve efficiency, a plus Essential Duties and Responsibilities (Not all Inclusive)

Coordinate hiring process for all new substitute teachers.

Contact applicants. Arrange to meet with the applicant. Secure all new hire paperwork for applicants. Send Red Rover instructions and current Substitute Manual. Maintain Red Rover automated substitute teacher calling system & Skyward human resource management system.

Input data on newly hired substitutes in both Red Rover and Skyward. Update data on current substitutes in both Red Rover and Skyward. Deactivate substitutes not currently subbing for District 87 in both Red Rover and Skyward. Input data on newly hired teachers in Red Rover. Update data on current teachers in Red Rover. Deactivate terminated teachers in Red Rover. Daily:

Monitor Red Rover system. Call and secure substitutes, including related services positions, for positions not filled in Red Rover. Correspond with substitutes, building substitute coordinators, teachers, department chairs, administrators and human resources as needed. Input substitute requests in Red Rover as needed. Monitor data input for errors or special circumstances. Coordinate Long Term Substitute needs Bi-Monthly:

Prepare substitute teacher payroll, ensuring that all data is correct and accurate. Track substitute days worked for any change in pay rate. Update substitute pay rate as defined in the substitute manual. Monitor any days noted as unpaid and ensure payroll is adjusted accordingly. Yearly:

Identify substitutes the district would like to keep for the following school year. Send letter inviting substitutes back, reminding them to update expired licenses, and update any other information that has changed. Run End of the Year Report for payroll. Run individual End of the Year Reports for each substitute's file. Update teacher data for the new school year in Red Rover. Review substitute PEL expirations in ELIS; update Red Rover and Skyward. Provide substitute endorsement list to department chairs at the onset of school. As Needed:

Provide training to substitutes, building substitute coordinators, teachers, department chairs, administrators and human resources for current and new Red Rover features. Provide Red Rover data and/or reports as requested by substitutes, building substitute coordinators, teachers, department chairs, administrators and human resources. Coordinate feedback on substitute teachers. Monitor new releases in Red Rover for features that would be beneficial to Glenbard and coordinate their release/use within Glenbard. Continue to identify problem areas and troubleshoot with Red Rover for possible solutions. Perform all on-boarding functions for Summer School Staff. Maintain electronic personnel files in the YellowFolder system. Other duties as assigned.

The employee may occasionally lift up to 30 pounds such as reference books. The noise level in the work environment is usually moderate. The pace of work tasks would be considered as fast. Work is usually conducted at one job site, however, on occasion, this employee will be required to attend meetings, conferences, or workshops and events at other sites as assigned.
