Overview
A leading international law firm is seeking a Client Service Specialist (Legal Secretary) to join its Washington, DC office, providing administrative client services to both internal and external clients. This role supports the firm's Litigation Department and requires strong organizational, communication, and technical skills, along with fluency in English and Spanish.
Responsibilities
Maintain a consistent in-office presence to facilitate collaboration, cross-training, and peer support.
Coordinate legal practice tasks and administrative functions, including finance/billing-related tasks, time and expense entry, matter openings, client presentations, and meetings.
Prepare and file complex legal documents and correspondence in English and Spanish with courts and agencies.
Coordinate with firm resources (e.g., document services, client service center, practice support, and other offices) to ensure seamless completion of tasks and projects.
Manage attorney practices by facilitating client service levels, prioritizing workload, and anticipating needs.
Support the billing process: proofread, apply task codes, manage rates, process write-offs, prepare expense reports, and maintain compliance with billing protocols.
Ensure accurate timekeeping and expense processing, while promoting best practices.
Maintain client materials in document management systems and ensure proper version control.
Work overtime as required and take initiative in handling a variety of additional projects. Proficiencies
Advanced ability to organize, prioritize, delegate, and coordinate within a team.
Expert-level grammar, spelling, and proofreading skills.
Advanced proficiency in MS Office (Word, Outlook, Excel, PowerPoint) and document editing/comparison tools.
Strong knowledge of legal billing systems, timekeeping, and expense processing.
Advanced familiarity with jurisdictional, court, and agency rules and procedures.
Proficiency with web conferencing and document management systems.
Strong interpersonal communication skills to collaborate with firm-wide departments and resolve issues effectively.
Ability to meet deadlines and deliver results in alignment with firm policies and procedures. Qualifications
Bachelor's degree preferred.
Fluency in English and Spanish (written and verbal) required.
Minimum of 6 years of legal secretarial or equivalent legal support experience required.
Litigation experience required. Compensation & Benefits This position offers a competitive salary range of
$76,100 - $108,000 annually , commensurate with experience. In addition, employees are eligible for bonuses tied to individual contributions and firm profitability.
