If IFM member identifies discrepancies between SOP implementation and coherent applicability, must escalate issue to update or implement local variances in SOP.**Area of responsibility MOSA****Responsibilities and accountabilities**Subcontractor Agreements; Competitive BiddingCompetitive Bidding.* Build a procurement plan prior to the beginning of each Fiscal year and review it with Microsoft.* Present a minimum of three (3) written bids shall be obtained from qualified vendors for any Subcontractor Agreement the lower of the limits set forth in Microsoft funds authorization table or $25,000.00USD shall apply with respect to this bidding.Fees, Reimbursements and Subcontractor ChargesSavings.* Identify initiatives and procurement activities, savings opportunities to be achieved each Fiscal Year.* Linked initiatives with MS efficiency programs.Reconciliation and adjustment of a Savings Initiative* Review Savings Budget quarterly and ensure it is adjusted for actual achieved under the Initiative actions taken by the Supplier.**Area of responsibility SOW****Responsibilities and accountabilities**General Management* Participate and be engaged with IFM meeting cadence as set by RE&F. Meetings will include operational, strategic, and best practice forums. Tier One Partner will establish its own Rhythm of Business (ROB) activity as needed.* Ensure compliance with SOPs for all contracted services, identify and include all variations applicable per site.* Ensure all work stated in this SOW and Master agreement is completed in compliance with all governing laws, codes and regulations, MS Environmental health and Safety (EH&S), IT requirements and in full compliance with MS Insurance requirements.* Ensure compliance with MS standardized processes, policies and procedures by all parties executing services on behalf of ernance* Provide visibility of opportunities in processes and programs related to S&P for improvements.Stakeholder and End User Relationship Management* Serve as a SPOC, accountable for representing GWS to research and understand S&P situations their business need and gather sufficient information to develop viable solutions, assess potential alternatives, and provide meaningful implementation timeframes.Global Program Management* Coordinate individual programs along a critical path and perform oversight of activities and compromises proposals and implementations.* Ensure all IFM teams are trained and conversant with S&P programs standards and processes.* Provide status reports to Global Program Lead as per agreed frequencies and format.* Provide timely and appropriate program-related communications to stakeholders.* Keep abreast of upcoming legislation and potential impact on programs and propose changes.Training and Onboarding* Train IFM teams in S&P with topics in accordance with Microsoft and JLL requirements with coordination from relevant organizations (e.g., OHS, Microsoft Global Security, etc.).* Create and maintain training materials relevant to personnel duties in accordance with SOPs and best practices.Sourcing & ProcurementSource Selection:* Identify and assure the best source possibility according to the service requirements.* Retain approved Tier Two Provider and Third Parties services through a competitive bid process consistent with MS procurement guidelines.* Obtain advanced approval from RE&F to negotiate contracts when and if applicable.* Manage RFP process and make recommendations for selection/award to RE&F.Operational Efficiency Program.* Annually develop and maintain a rolling twoyear Tier Two Provider sourcing and savings plan. RE&F personnel (e.g.: sourcing, regional, finance, etc.) shall review and approve the sourcing plan and will assist in identifying savings opportunities by leveraging supporting teams and resources, in order to achieve optimal sourcing benefits and results. Keep tracking and manage the annual procurement plan control tools.Supplier Development:* Manage all technology tools in order to bring support to operational sourcing tasks in the achievement and execution of the best practices.* Maintain and manage a supplier relationship program in order to assure a continuous improvement of services and benefits towards JLL and the client.* Purchase merchandise and other service upon MS request. This shall occur in a such a manner that MS provides the Tier One Partner with firm negotiated offers from preferred providers or the Tier One Partner is commissioned to purchase specific merchandise or services for MS within a tender framework.* Analyzing and improving supply chain operations.* Resolving day-to-day supply chain issues and promoting operational consistency.* Evaluating procurement metrics by measuring supplier performance.* Collaborate with project scopes, schedules, and costs.* Establishing effective communication channels with customers, vendors, suppliers, and shipping companies.* Negotiating better SOW with existing suppliers as well as sourcing new suppliers.* Reporting on competitive intelligence, as well as market and consumer trends.Provider Performance Management* Ensure that all Providers are aware of their responsibility for any property damaged in the course of their assigned scope and that they shall repair, replace or otherwise compensate to restore the damaged property.* Ensure that all Providers are aware of their responsibility for any property damaged in the course of their assigned scope and that they shall repair, replace or otherwise compensate to restore the damaged property.Reporting* Maintain back-up data to quantify the summary reporting.* Produce reports that provide business intelligence and analytics that enable decision making in alignment with the IFM ROB.* Ensure information reported is accurate with MS systems information. Advise of any data issues to address data accuracy.GWS Benchmarking and Market Insights* Continually look at trends, finding insights and bringing things forward, globally, regionally, and locally, where applicable.* Proactively share innovation opportunities at a global level and avoid negatively impacting standardization through innovation focused at a local/regional level.Financial Management* Ensure that payment terms, service price and other economic information are consistent with signed contracts, either for Microsoft or JLL, on tier two or tier one periodically invoices and therefore during the payment execution.Business Continuity / Emergency Preparedness /Response / Disaster Recovery* Provide salient information to GWS to support their Business Continuity planning efforts and update information in Business Continuity Plan (BCP) as required.* Participate as a member of the emergency response team (ERT).Workplace Effectiveness & Experience #J-18808-Ljbffr
