Position Summary: The Human Resources and Benefits Coordinator plays a vital role in supporting the district's HR operations and serves as the primary assistant to the Assistant Superintendent of Human Resources. This position is responsible for managing day-to-day personnel processes, employee data systems, compliance tracking, and staff communications to ensure a smooth, confidential, and legally compliant HR environment. Essential Duties and Responsibilities:
Employee Onboarding, Offboarding, and Position Changes Coordinate a uniform onboarding process for new employees, including background checks, related documentation, and state-mandated training. Prepare and maintain personnel contracts, Schedule B agreements, and related documentation. Serves as the District's point of contact and subject matter expert on fingerprinting, background checks, and ICHAT. Responsible for verifying certification renewals and tracking expiring teacher certifications. Ongoing communication with all staff. Assists or directs employees who have retirement questions. Health Benefits and Payroll Support
Coordinates open enrollment for all staff. Answer staff questions and ensure completion of enrollment. Process all life events and end-of-employment actions. Maintain accurate employee records in Skyward, PowerSchool, and Plan Source databases. Coordinates with the business office on a regular basis. Workers' Compensation and
Unemployment
Serve as the District subject matter expert and point of contact for all WC and unemployment Actions. Responsible for managing all claims from start to finish by submitting any required documentation. Maintain communication with employees and claim adjusters, as needed for WC claims. Respond to all Michigan UIA requests for information and represent the District at hearings. Leaves of Absence
Responsible for processing all FMLA and other leave of absence requests Compliance and Reporting
Serve as the district's mandated training compliance officer using Vector Solutions. Maintain REP (Registry of Educational Personnel) and submit required state reports. Ensure all professional staff licensing and certification records are accurate and current in MOECS. EEO-5 Reporting Tenure Tracking Communication and Administrative Support
Disseminate employment information, job postings, and application instructions; maintain the PowerSchool database. Coordinate Years of Service recognition. Responsible for the preparation of monthly personnel reports for the Board. Perform other HR-related duties as assigned by the Assistant Superintendent or Superintendent. Qualifications, Skills, and Abilities Bachelor's degree preferred, but not required. MSBO HR Specialist, HRCI, or SHRM Certification. Three to five years of experience in school Human Resource Management. Strong communication skills with staff, administration, and the public. Ability to actively listen, demonstrate empathy, and understand other perspectives. Exceptional attention to detail, organizational skills, and ability to manage multiple priorities. Proficient in Microsoft Office, Google Suite, and database management systems; experience with HRS Management Systems. Knowledge of state data reporting requirements or willingness to acquire expertise. Strong research, analytical, and problem-solving skills. Ability to maintain confidentiality regarding sensitive HR matters. Ability to work independently, prioritize tasks, and meet deadlines while maintaining accuracy.
