Job Summary:
The Prequalification & Compliance Coordinator is responsible for ensuring the company maintains active prequalification status with general contractors, enabling eligibility to bid on new projects. This role manages all compliance-related requirements, including safety, insurance, bonding, certifications, OCIP/CCIP enrollment and reporting, and security documentation, to ensure the company remains in good standing with general contractors and project owners. The coordinator acts as the primary point of contact for compliance-related communications and supports business development by streamlining the prequalification process.

Essential Duties and Responsibilities
Prepare, submit, and maintain prequalification applications and renewal documents with general contractors and third-party compliance platforms (e.g., ISNetworld, Avetta, TradeTapp). Monitor and track compliance requirements across active and prospective projects to ensure deadlines are met. Maintain up-to-date records of insurance certificates, bonding capacity, licenses, and safety program documentation. Coordinate with insurance providers, safety officers, and project managers to gather and verify compliance information. Manage Owner Controlled Insurance Program (OCIP) and Contractor Controlled Insurance Program (CCIP) enrollment and compliance, including:
Registering projects and personnel into OCIP/CCIP systems. Submitting required payroll and labor hour reports on a weekly/monthly basis. Coordinating with brokers and administrators to resolve enrollment discrepancies. Assisting with claims documentation and audits tied to controlled insurance programs.
Ensure company safety programs and OSHA documentation meet general contractor and project-specific requirements. Track and update security clearances, background checks, or site-specific training certifications as required. Support project teams by providing compliance-related documents and responses for RFPs, bids, and contract negotiations. Develop and maintain an organized compliance database and reporting system. Communicate with general contractor compliance teams to resolve issues, discrepancies, or requests. Stay current with industry requirements, best practices, and updates to contractor compliance platforms. Minimum Requirements
2+ years of experience in construction administration, compliance, prequalification, or contracting support. Strong understanding of construction industry requirements related to insurance, bonding, OCIP/CCIP, and safety compliance. Excellent organizational skills and attention to detail, with the ability to manage multiple deadlines. Strong written and verbal communication skills for coordination with internal staff and external partners. Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and familiarity with compliance platforms (ISNetworld, Avetta, etc.). Preferred Experience
Knowledge of OSHA safety requirements and construction safety programs. Experience working with subcontractor prequalification processes for general contractors. Familiarity with construction bid processes and project documentation. Pay Rate: $24.00 - $30.00/hour
