About the Role:

As a CBRE Facilities Coordinator, you will collaborate with clients, vendors, and contractors to ensure the prompt execution of work orders and the accurate updating of invoicing within our systems. You will manage a small portfolio in Atlanta, GA, comprising commercial office spaces and a single depot location.

This job is a part of the Facilities Management functional area which focuses on all aspects of the operations of a set of assets, providing support to the Property Managers regarding all repairs and investment plans.

What You'll Do:

Collaborate with landlords, tenants, and service providers to ensure compliance with established procedures, policies, and reporting standards.

Procure and maintain essential supplies to support daily operations

Assist with vendor coordination and relationship management

Address client inquiries and process work order requests

Gather and compile performance and progress data for reporting purposes

Organize and retain work orders, proposals, departmental documents, and vendor submissions

Manage invoicing processes and maintain related documentation

Oversee and prioritize work orders based on urgency and significance

Follow instructions, draft concise correspondence and memos, and seek clarification when necessary

Respond to routine inquiries or concerns from clients, colleagues, and supervisors

Manage office supply inventory, including placing orders and ensuring adequate stock levels.

Restock supplies as needed to maintain smooth workflow.

Procure tools and materials for the maintenance team as needed.

Utilize Microsoft Office Suite (Excel and Word) at an advanced level.

Utilize CMMS and COUPA systems for supply ordering and purchase order processing.

Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.

Impact through clearly defined duties, methods, and tasks are described in detail.

Deliver own output by following defined procedures and processes under close supervision and guidance.

What You'll Need:

High School Diploma or GED with up to 2 years of job-related experience.

Exhibit a high proficiency with Microsoft Office.

Ability to follow basic work routines and standards in the application of work.

Communication skills to exchange straightforward information.

Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.

Strong organizational skills with an inquisitive mindset.

Basic math skills. Ability to calculate simple figures such as percentages, discounts, and markups.
