Part-Time Office Administrator

Home Works Construction and Remodeling LLC Position Title: Part-Time Office Administrator Location: Remote (preferably in NJ); must be available mornings EST Pay Range: $24-$30 per hour (W2) - higher for experienced candidates or bilingual in English/Spanish/Portuguese Industry: Residential General Construction Key Responsibilities
Scheduling & Coordination: Maintain and update master calendar for field crews and subcontractors Scheduling & Coordination: Confirm subcontractors 48 hours in advance, sending all site access notes Scheduling & Coordination: Schedule town inspections, dumpster drop-offs, material deliveries, and returns Materials Management: Price compare 2-3 suppliers for each order Materials Management: Place purchase orders (POs), track ETAs, and manage returns/credits Materials Management: Maintain a live materials tracker with needed-by dates and status Paperwork & Bookkeeping: Collect and file W-9s, Certificates of Insurance (COIs), lien waivers Paperwork & Bookkeeping: Enter vendor bills and receipts into QuickBooks Online, match to POs Paperwork & Bookkeeping: Draft simple change order forms, route for signature, and file in project records Project Administration: Maintain project records in Notion: scopes, dates, contacts, photo logs Project Administration: Update and post the weekly KPI sheet Project Administration: Manage time tracking records for team Client & Vendor Communications: Send confirmations for schedules, deliveries, and inspections Client & Vendor Communications: Draft quote requests and follow-ups Client & Vendor Communications: Route client/vendor issues to the appropriate team member Preferred Qualifications
2+ years in construction or trades administration (remodeling preferred) Proven ability to maintain schedules and deliver on time Comfortable comparing supplier quotes and managing material logistics Experience with QuickBooks Online - especially PO matching and bill entry Familiarity with tools like Notion, Slack, Google Drive, and Microsoft 365 Clear, professional written English (Spanish or Portuguese a strong plus) Detail-oriented, calm under pressure, and a great communicator Bonus: experience with light automation in Make.com or Zapier Benefits
