This is a hybrid position located in Little Rock, AR. The official title will be Asst-Administrative III (S) or Asst-Administrative Sr (S) depending on the candidate's qualifications and experience. Job Summary/Purpose: This position will coordinate all legal secretarial and administrative support to four experienced in-house lawyers with active regulatory litigation dockets. Responsibilities typically include the day-to-day operations of the office; maintaining files and calendaring ongoing and new proceedings; scheduling, handling incoming & outgoing mail; answering and directing telephone calls, making travel arrangements; and processing various requests through internal systems. Job Duties/Responsibilities:

Provide daily administrative support to four experienced regulatory lawyers handling administrative proceeding and non-litigation matters on behalf of the company. Prepare formal correspondence and routine documents with minimal direction and supervision. Prepare spreadsheets, interoffice correspondence, and copies. Excercise self-discipline in oversight of daily activities. Provide regulatory hearing assistance including preparing draft documents, witness lists, exhibit lists, preliminary reports, status reports, etc. Assist in scheduling witness hearing preparation, gather documents and assist in preparation for same, and arrange court reporters. Handle attorney calls and mail. Prepare trial binders and provide hearing/trial support. Document and file management, including organizing, indexing and filing documents, as appropriate. Manage attorneys' calendars for deadlines and scheduling orders. Provide attorneys with advanced notice of upcoming deadlines, meetings, etc. Prepare and track litigation hold letters. Input, retrieve and manage electronic documents on the department drives. Proofread and edit documents. Analyze & compile data in form required by attorneys (e.g., charts, etc.). Become knowledgeable about issues in, and contents of, assigned cases and files. Handle multiple assignments, work within deadlines, and maintain confidentiality of departmental issues. Be proactive in forwarding work issues to the appropriate lawyers/supervisors. Maintain well-organized and detailed filing system for legal entity management and business records and support compliance with applicable record retention policies. Monitor scheduling communications; schedule events, travel arrangements and departmental meetings; and arrange conference calls, and meeting facilities. Navigate internal systems to process timesheets, office supply orders, expense reports, etc. Add and update new matters and information in electronic data system. Process expense reports and input time worked into payroll system. Process invoices for payment in electronic data system including inputting new vendors. Communicate daily with internal and external business contacts, other attorneys and commission personnel. Assignments may involve overtime hours. Regular attendance is essential; some remote work involved and requires self discipline to stay on task. Prepare binders and other administrative/litigation support. Help litigation attorneys process child support claims. Work with multiple departments. Minimum Requirements:

Minimum education required of this position: Vocational training, apprenticeships or the equivalent experience in related field Minimum experience required of this position: Asst-Administrative III (S) - 4-6 years of relevant work experience required. Asst-Administrative Sr (S) - 6-8 years of relevant work experience required. Must be EEI SASS Test Recommended Minimum knowledge, skills and abilities required of the position: Advanced skills in Microsoft Office: Word, Excel, Outlook and PowerPoint; pre-existing knowledge of internal Entergy systems is a plus. Excellent written and oral communication skills and the ability to communicate effectively and in a professional manner. Ability to work quickly and accurately under deadlines/pressure. Strong problem-solving skills and the ability to multi-task and work productively and independently as a member of multi-disciplinary team. Ability to work with others at all levels. Attention to detail. Regular and reliable attendance. Assignments may, but do not normally include overtime and/or weekend hours. Perform work outside of these duties, as needed, for storm duty, restoration or other emergency events.
