Role Overview This role will focus on purchasing, production scheduling, inventory tracking, and demand planningwith a clear goal of ensuring that customer orders ship complete and on time. You will work closely with our vendors, logistics partners, sales team, and warehouse to keep products moving from order to delivery. Key Responsibilities Purchasing & Order Management Create and maintain purchase orders, ensuring all details (quantities, pricing, ship dates) are accurate. Track open purchase orders daily and follow up with vendors to confirm production progress and on-time shipment. Proactively communicate with the sales team regarding product availability, incoming inventory dates, and any changes to ship scheduleswell before those changes impact customer orders. Provide early alerts to sales when potential delays or shortages are identified so they can adjust customer expectations or offer alternative solutions. Monitor vendor lead times and production schedules, escalating any risks to on-time delivery. Demand Planning Review sales forecasts, open orders, and historical sales to plan purchasing needs. Adjust purchasing schedules as needed based on stock availability, incoming shipments, and customer order deadlines. Maintain safety stock levels for core items to prevent out-of-stock situations.
Production & Logistics Coordination Collect and share all necessary product specifications and approvals with vendors before production begins. Monitor and manage cost efficiencies in purchasing, freight, and production to protect margin targets. Ensure all products and packaging comply with licensing, branding, and retailer-specific requirements. Work with freight forwarders to request freight quotes, review for compliance, and submit for approval. Track shipments from origin to our warehouse, ensuring timely customs clearance and delivery. Proactively track all shipments in transit from origin to warehouse; identify risks (e.g., port congestion, customs holds) and resolve them before they escalate. Monitor inventory levels in our ERP system and flag potential shortages. Coordinate with the warehouse team to prioritize inbound and outbound shipments based on customer ship dates. Support allocation decisions when inventory is limited to ensure key customer commitments are met. Daily communication with 3PL and/or internal warehouse regarding incoming shipments and priorities, as well as timely issue resolution for fulfillment. Coordinate Value-Added Services (VAS): ticketing, hangtags, stickers, polybags, and packaging per customer/licensing requirements. Maintain clear and regular communication with suppliers, keeping accurate records of all updates and changes. Provide sales and operations teams with weekly updates on incoming product availability and potential delays.
Requirements
Qualifications 3+ years in purchasing, demand planning, or supply chain coordination, preferably in apparel or consumer goods. Strong attention to detail and ability to track multiple orders and deadlines at once. Excellent communication and follow-up skills. Proficient in ERP or inventory management systems.
