Grant Specialist

The Grants Specialist will provide on-going budget and programmatic monitoring for grant-funded programs to ensure compliance with contractual obligations and to provide support to the Grants Management and Operational Effectiveness Department. The Grants Specialist position is responsible for grant and budget monitoring, assisting with other agency and grant funded projects, and providing administrative support to the department. The Grant Specialist will perform data reporting and data management tasks associated with grant funded programs. Primary Responsibilities: Track all grant-related expenditures and reconcile documentation to the agency's general ledger for each grant. Assure appropriateness of all items billed to a funder according to the funder's fiscal policies. Prepare monthly spreadsheets, year-to-date, and balance amounts in a form acceptable to the Agency and/or each funder. Meet with program staff to strategize needed budget changes that accurately reflect the program and are allowable according to the individual funder. Prepare/submit budget change amendments in a format appropriate for each funding source. Prepare renewal budgets for assigned funders. Keep up to date with budget-related policy, requirements, and changes thereof for each assigned funder. Follow funder and agency policies and requirements with accuracy and attention to detail. Prepare for and coordinate fiscal site/monitoring visits. Conduct monthly meetings with grant program staff to provide feedback about grants and contracts. Prepare monthly/quarterly/annual reports as required by the funder and/or the Agency. Write handbooks/manuals required by the grant/contractor. Assist in authoring renewal proposals for existing grants and/or contracts. Coordinate and implement grant/contract monitoring plans with program team members including process flow management, tracking timelines, and conducting internal program audits as needed. Maintain up to date documentation, records, and databases appropriate for reporting all aspects of grant monitoring. Provide administrative support to the department. Required Qualifications: Bachelor's degree in social sciences or related field. One years' experience working in social service capacity/setting. Preferred Qualifications: Experience working with Electronic Health Records, Customer Relationship Management software or other web-based database. Experience creating data visualizations. Knowledge, Skills, and Abilities: Knowledge of non-profit services and programs. Possess persuasive, clear, and strong oral and written communication skills. Must be proficient in Microsoft Excel and Word. Ability to read and interpret data, information, and documents. Ability to work effectively under time constraints to meet deadlines.
