Responsibilities

Program Coordination and Advising: Serve as the Graduate School’s lead coordinator for prestigious external and internal fellowships. Support onboarding, orientation, respond to policy and funding inquiries, and assist with supplemental funding applications. Guide graduate student applicants through the process by leading application workshops, coordinating campus interviews, and offering strategic advising.

Fellowship Programming and Outreach: Design and deliver programming on prestigious fellowships and external funding opportunities, including sessions on identifying funding sources, crafting competitive proposals, and understanding reviewer expectations. Collaborate with Graduate School Professional Development and other campus partners and graduate populations.

Internal Award Management: Oversee internal award programs for the Graduate School (e.g., Teaching Assistant Awards, Program and Staff Awards). Lead and manage annual award and recognition ceremonies.

Data Management and Compliance: Oversee internal systems for tracking fellowships and awards. Ensure compliance with agency regulations and manage institutional reporting requirements. Maintain proposal resource libraries, templates, and databases to support future applicants.

International Fulbright Support: Coordinate Graduate School support for recruitment and funding of international Fulbright scholars. Advise academic units on Fulbright program requirements and funding structures. Manage out-of-state tuition waivers and facilitate institutional processes that support international Fulbright awardees.

Graduate School Strategic Initiatives: Contribute to Graduate School initiatives related to graduate student success and recognition. Participate in review committees and support internal fellowship and award programs.

Postdoctoral Affairs: Partner with UF Human Resources and other campus units to ensure consistent postdoc policies and procedures related to appointments, benefits, international visa compliance, and employee relations. Lead development and implementation of postdoctoral policies and resolve complex postdoc-related concerns.

Postdoc Programming and Engagement: Design and lead professional development programming for postdocs, including orientation, mentoring initiatives, and career development workshops. Coordinate with Graduate School Professional Development programs such as GatorLead and Preparing Future Faculty. Provide leadership and administrative support to the UF Postdoctoral Association.

Endowment and Fellowship Administration: Administer the Ewel Postdoctoral Fellowship, including managing the selection process, expense approvals, and liaising with the host department and donors.

Other Duties in Postdoctoral Affairs: Support additional postdoctoral initiatives and cross-campus collaborations to enhance the postdoc experience at UF (e.g., Postdoctoral Awards Ceremony).

Qualifications Required Qualifications:

Master’s degree in an appropriate area and six years of relevant experience; or a bachelor’s degree in an appropriate area and eight years of relevant experience.

Preferred Qualifications:

Postdoctoral experience of 4 years or more; experience in proposal development and applying for federal awards (grants and fellowships); grant/contract administration and event planning; leading professional development workshops, public speaking, expert knowledge of issues in post-doctoral affairs, fellowships and awards; outstanding written and communication skills.

Special Instructions to Applicants This is not a remote work position, and it is located on the University of Florida main campus in Gainesville, FL.
