We are seeking an exceptionally polished and resourceful Executive Assistant to support the CEO of a highly respected financial services firm in Los Angeles. This is a unique opportunity to work at the highest level of the organization, acting as a true business partner to the CEO and ensuring seamless day-to-day operations. The ideal candidate thrives in a fast-paced environment, exercises impeccable judgment, and is comfortable managing highly confidential information. Responsibilities
Provide dedicated executive support to the CEO, including heavy calendar management, scheduling, and prioritization of commitments across multiple time zones. Act as a gatekeeper and liaison, managing communication between the CEO and internal/external stakeholders, including board members, investors, and high-profile clients. Coordinate domestic and international travel, often complex and last-minute, including flights, accommodations, ground transportation, itineraries, and contingency planning. Prepare briefing materials, reports, presentations, and correspondence for meetings and strategic initiatives. Manage and track action items, ensuring deadlines are met and follow-ups are completed promptly. Handle confidential information with the highest degree of discretion and professionalism. Anticipate the CEO’s needs, proactively problem-solve, and provide support to ensure efficiency and focus on strategic priorities. Assist with personal and business matters as needed to provide seamless support. Be available 24/7 for urgent requests and travel as required. Qualifications
10+ years of experience supporting a CEO, Chairman, or equivalent executive in financial services, private equity, investment banking, or a similarly fast-paced and demanding environment. Proven ability to operate with discretion, diplomacy, and sound judgment. Strong project management and organizational skills, with the ability to anticipate needs and pivot quickly. Exceptional communication skills — both written and verbal. Highly proficient in Microsoft Office Suite, Google Workspace, and modern collaboration tools. Ability to remain calm under pressure while handling multiple priorities. Polished, professional presence, with the flexibility to work extended hours and weekends as required.
