Overview
Executive Assistant to the CEO Location: San Francisco Bay Area (minimum 3 days per week in our San Francisco Peninsula office)
We are seeking a highly capable, organized, and adaptable Executive Assistant to support the CEO in leading a high-growth, global technology company. OutSystems is transforming how enterprise software is built — and with growing investments in AI, the pace of change and opportunity has never been greater.
This is a high-impact role within the CEO Office, working alongside the Chief of Staff and embedded in a collaborative team of Executive Assistants. The ideal candidate will support the CEO directly and help coordinate executive support across time zones, including directing the work of a Europe-based Executive Assistant. The Executive Assistant will enable the CEO’s focus on strategic priorities through calendar orchestration, travel and meeting execution, stakeholder coordination, and proactive operational follow-through. The role also includes responsibility for managing the Bay Area office and helping to cultivate a strong local team culture. In-person presence in the office is required at least three days per week.
Responsibilities
Executive Operations & Strategic Support: Manage a dynamic, high-volume calendar across global time zones; schedule and coordinate internal and external meetings; prepare agendas and briefing documents; anticipate needs and support the CEO’s decision-making; align the CEO’s time with top priorities in collaboration with the Chief of Staff.
Team Leadership & Coordination: Oversee and coordinate work with a Europe-based Executive Assistant to ensure seamless global support; contribute to the CEO Office operating rhythm and continuous improvement efforts.
Travel & Logistics Management: Organize complex domestic and international travel, including flights, accommodations, visas, and itineraries; manage expense reporting and reimbursements; occasional travel may be required.
Stakeholder Engagement: Act as a trusted point of contact between the CEO and internal/external stakeholders; maintain professional, discreet, responsive communication; build relationships across global offices and time zones.
Project & Operational Support: Support ad hoc strategic and operational projects; maintain documentation and track action items; drive execution across departments; improve processes and anticipate roadblocks.
Bay Area Office & Culture: Manage the Bay Area office to support a productive environment for the CEO and leadership; foster a strong local culture and sense of community.
Qualifications
Bachelor’s degree required; business, communications, or related field preferred.
8+ years supporting senior executives in high-growth, global, or technology-driven companies.
Excellent communication and interpersonal skills; professional, composed, and detail-oriented.
High discretion and judgment in handling sensitive information.
Expert-level proficiency with productivity tools (Google Workspace, Slack, Zoom, etc.).
Exceptional organizational and time management skills; ability to manage competing priorities.
Flexible schedule to support a globally distributed executive.
Additional language skills are a plus.
