ATA Services, Inc., is looking for a full-time, dedicated Mail Clerk! Please apply, we can't wait to work with you! Duration:
1 year Non-exempt Hourly Rate:
$19 This position provides support to the entire agency through processing the incoming mail and distributing it to the appropriate individuals in the agency. This position tracks and processes supplies that have been ordered by the Division. This position oversees the sorter stuffer machine and ensures it is functioning properly to ensure claimant letters are sent out within the guidelines mandated by the Social Security Administration.
Responsibilities
Picks up incoming mail from the first and fifth floors of the facility and distributes mail throughout the agency. Picks up outgoing mail throughout the agency, runs through the postage meters as needed, and delivers all outgoing mail to the first-floor secure room for USPS pickup. Performs general clerical duties as needed for the agency. Clerical work may include scanning incoming paperwork, word processing, sending/responding to e-mails and phone calls, purging files, filing (alphabetically or numerically), data entry, etc. Ensuring there is adequate postage in the mailroom and orders for bulk mailing and letter processing. Documents and tracks paper case files with claimant PII information.
Determines the appropriate distribution of incoming mail.
Determines the appropriate processing of outgoing mail (metering, weight, amount of postage, etc.).
Ensures the mail is not tampered with until it reaches the appropriate person.
Supplies
Receives supplies that have been ordered by the agency. Tracks supplies using the DDS Supplies Data Base. Responsible for maintaining federal forms, brochures, and envelopes. Monitors supplies and orders as needed. Delivers small supply items during mail runs. Distributes copy paper to workrooms and delivers large items throughout the agency on a weekly schedule.
Surplus and Meeting room setup
Maintains copiers, fax machines, and mail machine: clears jams, diagnoses malfunctions and schedules repairs as needed, changes ink cartridges, etc.
Assembles office furniture; moves office furniture and computer equipment; sets-up, takes-down, rearranges for meetings, trainings, etc.
Collects shredder bins throughout the agency for a contract company that performs volume on-site shredding. May require the use of gurneys, dollies, and/or hand tools.
Identifies office furniture and equipment no longer needed around the agency and collects it as surplus. Identifies and coordinates surplus with DOC as needed and maintains related forms and files.
Diagnosis and determines the best course of action to clear jams and malfunctions of office machinery.
Identifies surplus equipment and supplies and determines the best course of action to address the surplus.
