As the Senior Executive Assistant to the Senior Vice President and Chief Human Resources Officer and the Vice President of Underwriting and Actuarial, you will play a critical role in enabling optimized operations, streamlining processes, and ensuring alignment across key business initiatives. You will collaborate with cross-functional teams and Executive Assistants across the organization to manage complex workflows and support processes such as budget planning, strategic planning, and performance evaluations to enhance organizational effectiveness. The pay range for this position in Western Washington varies between $71,100.00 – $99,450.00. Washington Dental Service and its affiliates, including Arcora Foundation, Delta Dental of Washington, and TriForza intends to offer the selected candidate a base pay within this range, dependent on job-related, non-discriminatory factors such as experience. Base pay will also be adjusted based on the candidate's geographic location. Essential Responsibilities include the following:

Washington Dental Service and its affiliates reserve the right to change the responsibilities at any time with or without notice. Proactively manage both executives’ calendars, anticipating scheduling needs and adjusting priorities. Review and approve expense reports, time-off requests, and timesheets on behalf of the executives. Prepare agendas, build presentations, and take meeting notes with key decisions and action items. Partner with each executive to understand goals, create plans, and support execution. Coordinate companywide initiatives (e.g., all-employee events) from planning to execution. Manage travel arrangements and create detailed itineraries for both executives. Liaise with senior leadership and cross-functional teams to support communication and alignment across HR and Legal. Organize occasional team events (e.g., holiday celebrations), including vendors, budgeting, and communications. Oversee timekeeping and expense processes for the executives. Maintain an annual calendar of key business processes (e.g., budgeting, year-end activities). Track goals and follow up on action items to ensure progress across both executives’ priorities. Assist with budget planning and reconciliation. Conduct research and analysis to support executive priorities. Work with the Executive Office Manager to improve EA processes and increase effectiveness. Experience, skills, and education
required to succeed in the position: Extensive experience with calendar and schedule coordination for senior leaders Proven experience managing multiple priorities, projects, and team coordination in a fast-paced environment Advanced proficiency in Microsoft Office tools (Word, Excel, PowerPoint), Zoom, and DocuSign Experience handling sensitive and confidential information with discretion and sound judgment Strong communication skills with the ability to collaborate across diverse roles, personalities, and seniority levels Detail-oriented with a high standard for accuracy and quality of work 7+ years of progressively responsible experience supporting senior executives Experience supporting or partnering with Human Resources, People Operations, Underwriting, Actuarial, and Risk teams is preferred Ability to identify and implement task automation and workflow improvements to support team efficiency and productivity Equal Opportunity Employer/Protected Veterans/Individuals with Disabilities This employer is required to notify all applicants of their rights pursuant to federal employment laws.
