Position Overview:
The Vice President of Records Management leads the strategic and day-to-day operations of the Records Management Department, supporting NYCEDC’s efforts to maintain organized, accessible, and compliant records. This role oversees a small but dedicated team and works across departments to ensure both digital and physical records are efficiently managed. The Vice President will also participate in creating and implementing the corporation’s knowledge transfer program. The ideal candidate brings a background in records management, libraries, or digital archiving and knowledge transfer and is excited to apply their expertise to a mission-driven organization. This role values collaboration, continuous improvement, and balancing operational needs with practical and user-friendly records and knowledge transfer policies. Responsibilities
Supervise Records Management staff, including recruiting, hiring, delegating, and assigning work aligned with employee capabilities and NYCEDC needs. Ensure all employees are oriented to their position, provided with training and professional development, monitor performance, and foster a positive work environment. Develop and manage the department budget by assessing personnel, technology, and operational needs; prepare cost-benefit analyses and feasibility studies. Strive for compliance with the Records Management policy and retention schedule, ensuring they meet legal requirements and are up to date. Provide orientation and training to the corporation’s staff, supervise and answer complex Records Management Help Desk inquiries. Perform data analysis and identify opportunities for cleanup and normalization, especially for legacy data. Maintain a strong understanding of department functions across the corporation and strategize outreach, training, and department efficacy; ensure training materials reflect current best practices. Implement and monitor records destruction; research records management and knowledge transfer issues, including retention, destruction, electronic records best practices, and information governance. Administer Legal Holds and identify strategies to improve department and corporation-wide record procedures and knowledge transfer strategies. Plan the efficient use of onsite and offsite storage space and identify risks related to storage formats and mitigations. Interpret and apply NYCEDC policies and procedures; manage vendor contracts, service agreements, and purchase agreements. Minimum Qualifications
At least 5 years of experience in records management, libraries, digital archives, or a related field. Experience managing document management systems or database implementation. Strong understanding of records classification, life cycle management, and digital archiving. Knowledge of metadata standards and best practices for digital records preservation. Proficiency with Microsoft 365 and records management software. Strong analytical and problem-solving skills with a user-focused approach to records management. Demonstrated written and verbal communication skills and ability to work across teams. New York City residence is required within 180 days of hire. Preferred Qualifications
Master of Library and Information Science (MLIS) or Certified Records Manager (CRM) certification. Experience creating and implementing knowledge transfer programs. Salary Range
