Executive Office Administrator/Office Manager
The NLADA Insurance Program (comprised of the NLADA Service Corporation and NLADA Mutual Insurance Co., RRG) is an insurance and risk management firm exclusively dedicated to the distinct needs of the equal justice community. Summary The Executive Office Administrator/Office Manager leads the executive office administration and the daily management of office operations. The position provides administrative and operational support to the President & CEO, establishes procedures and standards to improve efficiency and effectiveness of office procedures, and provides administrative support to the NLADA Insurance Program Boards of Directors (NSC and NLADA Mutual) and Insurance Program staff. Responsibilities
Provides administrative support to the CEO and the Boards of Directors. Manages and maintains the CEO’s calendar to optimize time and facilitate information exchange. Reviews and drafts CEO correspondence and replies. Assists the CEO in developing and monitoring budgets for the Executive Office. Coordinates physical and logistical arrangements for Board meetings and prepares Board Books, agendas, and materials. Acts as the Insurance Program’s Board Portal Administrator. Travels to meetings and conferences as needed to provide on-site management and support to the CEO, Board of Directors, and staff business development activities. Supports the CEO’s business development activities and communications with potential members. Creates, updates, and maintains office policies and procedures in partnership with the CEO. Coordinates with HR to onboard and offboard staff and consultants. Coordinates with IT on NSC IT needs and with other internal teams for operational support. Plans in-house or off-site team activities and events. Schedules team meetings and distributes agendas; tracks insurance payments and refunds in coordination with the VP of Insurance Operations and Captive Manager. Other duties as assigned. Qualifications
5 years of experience supporting top-level executives, including a President/CEO or Executive Director. Experience working with a Board of Directors and committees, including planning Board and committee meetings. Strong office management and administration experience. Commitment to lifelong learning and professional development. Strong interpersonal and problem-solving skills with ability to think quickly and proactively solve problems. Excellent oral and written communication skills. Self-starter with initiative, able to organize and prioritize work. Ability to manage multiple projects efficiently and to follow through on assignments. Strong time management, organizational, and planning skills in a fast-paced environment with attention to detail and ability to propose improvements. Discretion and ability to maintain confidentiality. Strong word processing and desktop publishing skills; proficiency with MS Office Suite and databases. Willingness to travel periodically. Residence in the DMV area and availability to work on-site. Benefits and Environment
Salary information: The salary range is $49,600 to $60,000 annually, depending on experience. This is a salaried, non-exempt position, working 30 hours per week. This is a hybrid role; based in Washington, DC or the DMV area. Professional work environment in a hybrid setting with standard office equipment. Physical demands include occasional travel and on-site work.
