Overview
ASAE is looking for an energetic professional to join our executive office team as we continue to elevate ASAE’s governance efforts. The Director of Executive Officer will work with the Chief Public Policy and Governance Officer to manage the executive office, oversee administration, programs, and strategic plan implementation to align with the organization's mission and vision. This role is responsible for ensuring the smooth and efficient operation of the executive office by managing the CEO's schedule, preparing for and facilitating executive meetings, and handling high-level communications and special projects. The ideal candidate will be a highly organized, proactive, and discreet professional with a deep understanding of the association industry and a proven ability to manage complex tasks with poise and precision. Candidates must be able to work in a diverse, inclusive, and collaborative environment where colleagues are engaged, respect and support each other, hold themselves accountable, and celebrate their work.

Executive Support
Serve as the primary point of contact for the CEO, screening and prioritizing incoming requests and correspondence.
Manage the CEO's calendar, travel, and logistics, ensuring optimal use of their time.
Prepare and compile briefing materials, presentations, and reports for meetings and speaking engagements.
Support the President and CEO with the development of communications with the Board of Directors, with a strong emphasis on understanding the voice of the CEO.
Board and Governance Relations
Coordinate and support all activities related to the ASAE Board of Directors and its committees, including ASAE Governance Calendar.
Manage board meeting logistics, including agenda development, material distribution, and minute taking, for the three board meetings each year.
Manage and prepare schedules for the ASAE Board of Directors and Executive Committee during the ASAE Annual Meeting.
Ensure timely and accurate communication between the CEO, the board, and key stakeholders.
Plan and coordinate materials for board books through board portal and prepare minutes of the board meetings.
Plan and prepare materials for the two orientations of the new board of directors.
Manage the Leadership Committee from the initial call for nominations to the installation of the new board members, ensuring it is in line with by-law requirements.
Support the President & CEO with the development and monitoring of the Executive Office and Board and Governance budgets.
Support the President & CEO with their ongoing volunteer activities as requested.
Support development of committee meeting agendas, organize in-person and virtual meetings, and assist with projects related to each committee.
Project Management and Operations
Lead and manage special projects and initiatives on behalf of the CEO, ensuring they are completed on time and within budget.
Oversee the operational budget for the Executive Office.
Maintain strict confidentiality and discretion in all matters related to the CEO and the organization.
Act as a liaison between the CEO and other internal departments, as well as external partners and stakeholders.
Additional duties as assigned.
Meeting Planning
Works closely with the Volunteer Relations team on the agenda and logistics for the Fall Leaders Retreat.
Works closely with the Policy team on the agenda and logistics for the Spring Fly-In and Board of Directors meeting.
Works closely with the Marketing team regarding scripting and scheduling for the ASAE Annual Meeting and Exposition.
Works closely with the Meetings Team on schedule for CEO and Board Chair, including mandatory events and events to consider.
Essential Skills
Experience
A minimum of 7-10 years of experience in an executive support or chief of staff role, preferably within an association or non-profit environment.
Proven experience in managing high-level projects and working directly with a Board of Directors.
Skills
Exceptional organizational, time management, and problem-solving skills.
Ability to thrive in a high stress and fast paced environment.
Superior written and verbal communication abilities.
Proactive problem solver.
High degree of discretion, professionalism, and emotional intelligence.
Proficiency in Microsoft Office Suite and project management software.
Education and Experience
Undergraduate degree or equivalent combination of education, training and experience
Association experience is preferred.
Supervisory and Work Environment
Supervisory Responsibility: This position has no supervisory responsibilities.
Work Environment: This job operates in a professional office environment.
Physical Demands: Ability to lift 20 pounds on occasion.
Position Type and Hours: This is a full-time position. Ability to work before and after-hours events on occasion is needed.
Travel: Occasional travel is required.
