Overview

We are seeking a dependable and detail-oriented Office Administrator to provide a wide range of administrative and office support services for our office in Brooklyn. This role is responsible for ensuring the smooth day-to-day operation of the office by managing administrative tasks. The Office Administrator will also act as a central point of contact, providing support to staff and leadership with projects, marketing, and operational support. The ideal candidate is highly organized, proactive, and adaptable, with strong communication skills and the ability to work independently in a fast-paced environment. Base pay range

$30.00/yr - $35.00/yr Salary Range: $30 - $35/hour Duties

Manage daily office operations, including mail, deliveries, office supplies, equipment maintenance, and overall office organization Greet and assist visitors, answer phones, and manage emails, creating a welcoming and professional office environment Coordinate meetings, appointments, travel arrangements, and office events, including client hospitality and logistics Assist with onboarding and orientation of new staff, including workstation setup and provision of necessary supplies Provide administrative support to project teams, including preparation, formatting, proofreading, and control of documents, proposals, letters, and presentations Support marketing and proposal preparation in coordination with the marketing team Maintain and organize files, spreadsheets, expense reports, credit card statements, and other important records Contribute to the development and maintenance of the annual office overhead budget Provide occasional project-related support, including billable administrative tasks, deliveries of field equipment or supplies, and assistance with tight deadlines Adapt to changing priorities, handle multiple tasks simultaneously, and resolve issues independently as they arise Maintain a high level of accuracy and attention to detail in all tasks, ensuring professional standards are met Utilize Microsoft Office and other office software applications effectively to complete tasks efficiently Requirements

Proficient in Microsoft Word, PowerPoint, and Excel; ability to learn new software Minimum of 2 years of experience in a similar or related administrative role Strong organizational and prioritization skills; able to work independently with minimal supervision Excellent communication skills, both written and verbal Strong interpersonal skills and ability to interact effectively with managers, staff, and clients High attention to detail, proofreading, and accuracy Flexibility to adapt to changing priorities and manage multiple tasks simultaneously Bachelor's degree in business management or equivalent experience preferred Part-time: minimum 20 hours per week (potential to increase as office grows) Benefits
