Executive Assistant to High-Performance Founder (Napa-Based, Full-Time)

This isn’t a typical EA role—it’s a force multiplier for a high-octane founder. You’ll work directly with the founder of Hundred Health to own their calendar, business ops, and communications with precision and speed. You’re not a task-taker; you’re a strategic partner who anticipates chaos, builds systems, and executes flawlessly in a fast-moving startup environment. If you’re calm under pressure, two steps ahead, and thrive in high-trust, high-intensity business settings, this is your shot. About the Role You’re the founder’s right-hand operator, running their business operations like a well-oiled machine. This means managing investor relations, hiring logistics, business travel, and critical workflows with founder-level urgency. You’ll be their shadow brain—tracking conversations, decisions, and follow-ups across Slack, email, and Notion—while keeping sensitive business info locked down. This role is based in Napa, requiring in-person presence a few days a week. What You’ll Own Time Leverage & Schedule Mastery

Strategic Calendar Control:

Optimize the founder’s time as a business asset—prioritize deep work, cut low-value meetings, suggest high-leverage engagements. Daily & Weekly Briefs:

Slack daily agenda by 6am; deliver weekly “Review + Preview” of business priorities. Proactive Moves:

Anticipate scheduling conflicts and propose solutions before they’re asked.

Inbox & Comms Triage

Ghostwriting:

Write emails, texts, and intros in the founder’s direct, no-fluff voice for investors, partners, and team. Inbox Zero:

Triage and delegate daily to keep the inbox clean. High-Leverage Routing:

Flag critical comms (investor updates, key intros) for the founder; handle the rest.

Business Operations & Execution

End-to-End Ownership:

Run logistics for hiring (candidate coordination, references), investor calls and pitch decks, business travel, and critical workflows (partnerships, vendor negotiations). Event Coordination:

Plan business offsites, investor meetings, and industry events with flawless execution. Vendor Management:

Handle contracts, budgets, and communications with business vendors and service providers.

System Building

SOP Creation:

Build processes for team onboarding, investor tracking, pitch deck updates, and document management (NDAs, SAFTs, contracts). Dashboards:

Design trackers in Notion, Airtable, or Sheets for business ops, investor pipelines, and project milestones. Automation:

Streamline repetitive tasks to scale operational efficiency.

Shadow Memory

Real-Time Tracking:

Log meetings, decisions, promises, and follow-ups across platforms. Decision Logs:

Capture verbal commitments and “revisit later” items from business discussions. CRM Maintenance:

Track investor conversations, partnership intros, and next steps.

Who You Are: The Elite Operator Profile Trait:

You are fast-moving, hyper-detailed, tech-savvy, trustworthy, a sharp communicator, a builder’s brain, and emotionally intelligent. You align with the company’s brand and can operate in Napa in-person 4-5 days/week. Relocation to NorCal is expected if you’re not in the area. Bonus Points If You: Supported founders or execs at fast-moving startups. Experience in ops, production, or investor coordination in tech or health industries. Knowledge of the SF/Napa ecosystem (business networks, vendors). Can handle light Notion/Airtable builds and email automations. Why This Role Rocks High-Trust Seat:

The founder moves fast and trusts you to run critical business ops. No Bureaucracy:

Build, optimize, execute without red tape. Big Impact:
