Overview

Lifestyle Director The Lifestyle Director is a full-time position responsible for delivering an exceptional level of social activity for community residents through professional planning, organizing, and coordinating communications via newsletters, flyers, website, and meetings. The role aims to maximize resident participation and support the overall operations of the property in partnership with KWPM leadership. Responsibilities

Schedule and organize complex activities such as meetings, special events, travel, conferences, rentals, and department lifestyle programs with the highest integrity. Assist in planning events by coordinating entertainment, caterers, decorations, and other requirements for successful events. Provide daily oversight of Front Desk, Concierge and Gate House staff and other on-site team members. Develop Standard Operating Procedures to ensure service excellence. Assist in recruiting, hiring, training, scheduling, and evaluating Association personnel. Coordinate property tours and assist with resident orientation. Ensure room rentals are reserved in accordance with Association guidelines and rental agreements. Foster resident involvement in activities and events; coordinate meeting room needs (e.g., room setup, microphones, projection screens) and maintain a reservation calendar. Maintain registration lists for activities, classes, and events; organize and prioritize large volumes of information and inquiries; respond to rental inquiries promptly. Schedule venue tours and assist with property orientation for new residents; follow up with potential renters to book rentals. Manage renter and vendor contracts and documentation; provide one-on-one coordination meetings with renters as needed. Act as a liaison with other departments and external agencies, including District Managers, Vice Presidents, Board members, and chief engineers. Handle confidential information and explain policies as necessary; coordinate workload with the administrative assistant; maintain account information in the computer database. Coordinate important dates and meetings (e.g., annual and budget meetings); ensure professional and courteous communication on site and respond to messages within 24 business hours. Ensure mail is picked up daily; assist with producing minutes for Board Meetings and preparing Board Agendas and Packets. Process and code invoices; assist with issuing payments to vendors and instructors in a timely manner. Collaborate with committees and committee chairs for various activities, clubs, and special interests (e.g., Book Club, wine events, Mah Jongg, Bridge, Art, Photography). Assist with obtaining quotes and proposals for projects or events; oversee daily office management and supply ordering for Maintenance, Housekeeping, and Office. Provide activities information for the website and newsletters; post agendas to proper locations and the website; keep Link and KWIC information up to date. Assist Administrative Assistant with processing Vendor Packets and monitoring Vendor Licenses and Insurance Expirations. Solicit input from residents for specific activities and incorporate feasible ideas into the schedule; photograph classes, activities, and events to promote participation. Create and coordinate weekly and monthly newsletters; help evaluate activities on a monthly basis. Prepare and manage a yearly budget for lifestyle activities and ensure accountability for activity funds. Be available to residents to answer questions, consider new ideas, and respond to social activity needs; proactively develop solutions and anticipate member needs; liaise with local organizations to network and promote the community. This position is located in a residential condominium with a resort-like setting. The work will be performed in an office environment indoors as well as throughout the property outdoors. The environment is busy and loud during events, which are hosted on site. This role routinely uses standard office equipment. Physical Demands

The employee may be required to sit, stand, reach, lift, bend, kneel, stoop, climb, push, and pull items weighing up to 30 pounds. Some filing is required and the ability to lift files and operate filing cabinets is necessary. The role may require setting up tables, chairs, and related equipment, indoors or outdoors, and often with minimal assistance. Position Type / Hours

This is a full-time exempt position. Days and hours are scheduled weekly based on the property’s needs, with weekend work often required. Travel

Minimal local travel is required to purchase or rent equipment and items for on-site events. Travel may include driving to vendor locations and attending off-site meetings or trainings within the city limits. Required Education and Experience

Prior experience in a related position with a minimum of 3 years, including at least 1 year in a social or recreational program. A Bachelor's degree is preferred. Working knowledge of computer applications including MS Office Suite. Flexible work schedule to supervise activities and events; ability to multi-task and manage priorities. Excellent written, verbal, and non-verbal communication skills; creative, caring demeanor; ability to work under pressure. Ability to plan, implement, and evaluate an ongoing activity program; maintain supplies within a budget. Must interact effectively with a diverse population and work in a team environment. Bi-lingual in Spanish may be required at some communities.
