Location: Palo Alto/Hills area Base pay range: $35.00/hr Job Description Department: 509 – Catering and Events Reports to: Catering & Events Director Revision Date: 08/14/2025 Nestled next to the protected open space of the Arastradero Preserve, Palo Alto Hills Golf & Country Club (PAHGCC) blends the outdoors, family, and exceptional golf in one of the most idyllic locations in the Bay Area. PAHGCC was built in 1958 and developed with a vision to be the family club inclusive of women and children and has been a leading example of family membership ever since. Our welcoming and distinctive Private Club provides a premier championship golf course, year-round recreation, and artistic culinary and social activities for Members, their families and guests. Job Purpose The Catering and Events Coordinator is responsible for providing administrative support to the Catering and Events Office, including managing phone calls, responding to email inquiries, maintaining files, and assisting with general office operations. This role also supports the planning and on-site coordination of special events as needed. Additional responsibilities may be assigned based on departmental needs. Responsibilities - Provide support to the Catering and Events Director - Manage calls and email inquiries to Catering department - Organize and maintain accurate detailed and orderly files of previous and upcoming events - Coordinate and assist with executing all aspects of Club Events from start to finish - Provide prompt and courteous response to prospective clients and members - Serve as point of contact in absence of Catering & Events Manager - Develop proficiency in Catering software including, but not limited to, JAM, AllSeated, JONAS and Microsoft Office - Maintain an up-to-date event calendar that shows events in all stages of the booking process - Prepare and execute banquet contracts, proposals and any other necessary event paperwork to ensure successful execution of events - Understand our facility and the unique selling features - Assist with site tours when necessary - Provide assistance in the initial planning stages of member club events - Attend BEO Meetings - Conduct walk-throughs in accordance with BEOs and ensure proper setup is executed before events begin - Administer and update all BEOs - Assist Food & Beverage team as needed - Design place cards, signs, menus - Ensure proper service standards during events - Understand and know the terminology of menu items and event packages - Distribute daily and weekly reports, ensuring accuracy of all information - Ensure all payments and contracts have been received - Work with accounts payable to ensure proper billing - Assist in sales processes as requested by the Catering and Events Director (upselling, tastings, day-of coordination) - Assist with set up and break down of events - Maintain an organized workspace - Ability to work all shifts, including days, nights, weekends, and holidays - Other duties as assigned Required Knowledge, Skills and Experience - Bachelor’s degree preferred but not required - At least 2+ years relevant work experience in private country club, hotel, and/or restaurant - Creative candidate with experience in events and/or country club setting is a plus - Excellent written and verbal communication skills with the ability to deal effectively with all levels of staff, members and guests - Highly detail oriented - Exceptional creativity and organizational skills - Ability to handle multiple tasks and meet deadlines - Creative problem-solving mindset - Proficient in Microsoft Office; tech-savvy Licenses and Special Requirements - Must provide valid documents to work in the U.S. - Valid California Driver’s License required - Food handler certification - CPR/AED certified preferred but not required - TIPS training preferred but not required Physical Requirements - Flexible schedule for evenings, weekends, and holidays as needed - Able to sit for long periods; lift up to 30-40 pounds - Able to work in varied environments (hot and cold, indoors and outdoors) - Public speaking at meetings and events may be required - May be subject to loud music or noise Offer Details - This is a full-time non-exempt position with an hourly rate of $35.00 - Eligible for commission (0.5%) of all catering events and approved club events - Benefits: Medical, Dental, Vision, 401K with up to 4% match, EAP, Life and AD&D, PTO and Sick Time - Complimentary meals provided six days per week (excluding certain days) - Premier championship golf course access for staff on select Mondays Equal Opportunity Employer Palo Alto Hills Golf & Country Club (PAHGCC) is an Equal Opportunity Employer.
