Overview

Under the direction of the Designated Institutional Official (DIO), the Senior Project Manager is responsible for coordination and completion of specified projects and various data management and analysis activities within Graduate Medical Education (GME). Activities include exporting and collating data from multiple systems, data entry, data analysis and reporting. The Senior Project Manager oversees all aspects of GME projects, defines project scope, milestones and deliverables that support department goals. They set deadlines, assign responsibilities, monitor progress of concurrent projects, prepare reports for upper management regarding project status, and report data from various systems while tracking performance related to graduate medical education priorities and initiatives. Generates reports and dashboards as required, and works to validate and optimize data accuracy. The Senior Project Manager contributes to the development and implementation of departmental and organizational strategies, policies, and practices. Essential Responsibilities / Duties

Data Analysis

Extracts key data points from electronic systems, such as the electronic medical record, the Accreditation Council for Graduate Medical Education's (ACGME) website, and New Innovations (BMC's residency management software) for collation, entry, analysis, and evaluation. Analyzes information and creates scorecards or dashboards to be used for accreditation, learning environment assessment, and residency program management purposes; provides data to leadership and other stakeholders as requested. Validates the accuracy of the data collected and performs data audits as needed. Answers questions and troubleshoots issues related to GME data analysis or initiatives, as appropriate. Creates templates of frequently requested reports and trains users for quick data retrieval.

Project Management

Works with the DIO, GME Administrative Director, and other GME staff to establish goals and timelines for strategic GME initiatives and projects. Directs and manages project development from project inception to completion. Drives strategic improvement initiatives and manages one or more complex projects across the GME community and other key BMC departments and stakeholders. Coordinates project schedules and assignments for projects. Communicates project plan information, objectives, and deliverables to the team. Maintains project status, monitors activities of team members, and escalates issues in a timely manner. Establishes project milestones/schedules, maintains and reports on project status, and monitors progress of all team members. Initiates discussions with sponsors and stakeholder partners to define project schedules, issue resolution, and risk management. Assesses the impact of change management on schedules and budget. Provides guidance and training to enable other team members to meet/exceed expectations.

Administrative Duties

Processes information including correspondence, spreadsheets, databases, text forms, evaluations and reports, which may be complex in nature. Edits and proofs all reports and evaluates the validity of data and documents contained in all reports. Provides general administrative support, which may include scheduling meetings, setting up audio-visual equipment, transcribing meeting notes, following up on meeting-generated tasks and preparing documents, spreadsheets and presentation slides as needed. Completes assigned tasks related to initiatives and coordinates with colleagues in GME and other departments to ensure goals are met. Tracks status of initiatives based on established timelines. Assists with organizing meetings, setting agendas, keeping minutes and establishing next steps as requested when serving on committees and workgroups. Responds to ad-hoc queries as they arise.

Quality Improvement Activities

Identifies relevant data and data sources for performance improvement initiatives. Maintains all data in accordance with regulatory, legal and institutional guidelines. Works towards the goal of reducing paperwork and redundancy in data collection.

Job Requirements

Education: Bachelor's Degree, preferably in healthcare field, required. Knowledge of Graduate Medical Education is preferred. Master's degree is a plus. Certificates, Licenses, Registrations Required : Project Management Certification (PMP) from the Project Management Institute (PMI) is highly desired. Experience: 7+ years of work experience A minimum of 5 years related project management experience Experience in Six Sigma disciplines would be preferred Experience in a hospital administrative, research or clinical setting and experience with data analysis and/or abstraction is preferred Knowledge and Skills: Ability to work independently and in a team environment, to deal with ambiguity and constant change, and to participate in continual process improvement. Strong analytical skills and very detail-oriented. Experience with project management best practices and quality improvement methodologies. Experience in all phases of the project life cycle, managing/leading concurrent projects, and working on cross-functional teams. Ability to maintain strict confidentiality of sensitive information. Excellent organization and time management skills, including ability to multi-task and prioritize essential tasks. Excellent communication, negotiation and influence skills Proficiency with survey tools such as Qualtrics and REDCap Proficiency with formal statistical analyses software such as Stata and SAS; strong computer skills are essential (high level Microsoft Office products including PowerPoint, Excel, Word, Access, Outlook, and Visio).
