Job Description JJYS Office Specialist I -Weber Valley Youth Center

Roles and Responsabilities

Prepare, create and submit purchase order/'s for authorization signature/'s, submit invoice/'s for payments. Perform basic accounting tasks including tracking and accuracy checks of accounts payable/receivable. Work with people in a manner which shows sensitivity, tact, and professionalism. Answer and direct incoming phone calls along with sending emails. Provide customer service when clients, family or community partners come into the facility. Attend monthly meetings and take minutes for JJYS programs and Office Specialist staff meetings. Perform daily data entry, ordering/purchasing from State contracts online, phone. Use Google Calendar to track, schedule and coordinate meetings, appointments or other office activities Will be trained for 10 different programs: Purchasing/Searching from State Contracts, Bank Deposits, In coming & outgoing multi-phone lines, assist families/youth in what their needs are, Invoices/Billings & Review to send in for payment, Inventory control, Fingerprinting Staff/Youth Background Checks on Placements, Incident Reports, keep up on office equipment and setting up interviews Provide administrative support to four Administrative Program Directors Work and Check-in with families, youth and outside agencies coming into the facility for groups, visits and court. Maintain supply inventory and assist in purchasing supplies for the entire building. General office cleaning; taking out boxes, vacuuming and dusting. Prepare and process your daily/weekly/monthly documents/paperwork. Maintain daily files and records of purchases, logs, etc. Process New hire/'s I-9's for employment verification. Communicate information and ideas clearly, and concisely, in writing; read and understand information presented in writing to Supervisor, staff, clients and APD's. Speak clearly, concisely and effectively; listen to, and understand, information and ideas as presented verbally The Ideal Candidate

Works independently/Self-starter and is able to use sound judgment. Has at least one year of work-related experience doing office support/basic accounting functions. Has excellent communication and customer service skills. Has attention to detail when reviewing documents and entering data. Organized and has the ability to multi-task daily. Professional, responsible, friendly and able to work in a Juvenile Justice setting. Has general knowledge of office equipment. Has a valid Utah drivers license

Minimum Prefence Requirements May be given to candidates who have advanced office skills or comprehensive knowledge of rules, regulations and policies within Juvenile Justice and Youth Services. May be given to candidates who are 19+ years of age May be given to candidates who have a Utah drivers license

Will need to complete the defensive driver training course online in order to drive a state vehicle.
