Position: Development Administrative Assistant

Reports to: Director of Development

Salary Range: $22-26/hour

Status: 15-20 hours per week

Location: This role is an on-site position at Agros’ Seattle office.

Position Summary

This role supports relationship managers and executive leadership by managing administrative and logistical tasks in support of donor outreach efforts. This role contributes to effective donor stewardship and fundraising success by ensuring smooth operations across communications, events, donor acknowledgements, and data coordination. The ideal candidate is detail-oriented, dependable, and passionate about making a meaningful impact through behind-the-scenes excellence.

Key Responsibilities

Donor Communications & Acknowledgements

  • Coordinate the production and mailing of donor appeal letters (5–7 times per year), including printing, personalization, and vendor logistics.
  • Manage the donor acknowledgement process at least twice weekly, ensuring timely and accurate thank-you letters, in collaboration with the Donor Information and Operations Officer.
  • Support the Office Manager and Donor Information and Operations Officer with donation processes and database entry.
  • Monitor donor records for accuracy and flag any discrepancies.

Supplies

  • Maintain adequate inventory of stationery, postage, brochures, and other fundraising materials.
  • Order supplies as needed and track usage to support efficient budget management.

Event support coordination

  • Support logistics for donor events, including venue booking, catering, registration, and setup.
  • Coordinate event materials and assist with post-event follow-up.
  • Work with relationship managers and in-country staff to coordinate donor visits, including travel arrangements, agendas, and documentation.

Donor Stewardship

  • Manage automated donor stewardship for the general population, sustainers, and mid-level giving groups.
  • Ensure consistent scheduling and delivery of touchpoints aligned with donor segmentation.

Relationship Managers Support

  • Prepare briefing materials, meeting agendas and background information for major donors and senior leadership meetings.
  • Assist with donor recognition efforts and other initiatives that enhance major donor engagement.
  • Supervise Development Department volunteers or interns as needed, providing orientation and assigning tasks.

Qualifications

  • Proficiency in Excel, Word, and Outlook, with strong document and presentation skills for internal and external audiences; ability to learn new software quickly.
  • Strong written and verbal communication skills.
  • Familiarity with CRM or donor databases (e.g., Salesforce, Raiser’s Edge) is a plus.
  • Spanish Fluency Preferred.
  • Strong organizational skills and phenomenal attention to detail, with a commitment to high-quality work.
  • Excellent customer service skills with a donor-centered approach.
  • Ability to work well in a team environment as well as independently.
  • Flexibility and adaptability in a dynamic, fast-paced environment.
  • Preferred experience in a nonprofit development role or similar.
  • Passionate about Agros’ mission and supportive of its faith-based values and motivation.
