THE IMPACT YOU CAN HAVE:

The Office Services Assistant plays a critical role in ensuring a positive and productive workplace experience at our corporate office. Reporting to the Facilities Manager, this role supports a wide range of workplace functions-including facilities operations, mailroom services, office supply management, event coordination, vendor management, and general administrative support.

YOU'LL ACCOMPLISH THESE GOALS BY:

Facilities & Office Operations
  • Monitor facility conditions daily and coordinate timely repairs and maintenance to ensure a safe, clean, and functional workplace environment; submit and track work orders as needed.
  • Coordinate minor furniture setups, resets, and light assembly (e.g., shelving, cabinets).
  • Assist with workstation adjustments and troubleshooting furniture/equipment issues.
  • Follow all building security and emergency procedures; respond calmly and appropriately in urgent situations.
  • Utilizes and maintains integrity of databases and supports data entry of required reports and other digital tools associated with service delivery, as requested.
  • Stock, organize and maintain office and pantry supplies for the Tallgrass and mock store facilities.
  • Follows security and emergency procedures as defined by the property, and responds to emergency situations in a calm, efficient manner. Summons appropriate assistance as necessary.
Mailroom & Shipping Services
  • Process incoming/outgoing mail and packages (USPS, FedEx, UPS, etc.).
  • Operate automated mailing and shipping equipment.
  • Distribute internal mail and support package delivery across departments.
Administrative & Customer Support
  • Respond promptly and professionally to facilities-related inquiries and service requests.
  • Monitor the Corporate Facilities email inbox and workflow systems.
  • Support special projects and other ad hoc duties assigned by the Facilities Manager.
  • Identify opportunities for process improvement and assist with implementing solutions.
Meetings, Events, & Scheduling
  • Support the scheduling and furniture setup of conference rooms, including managing the Multipurpose Room calendar.
  • Assist in planning and executing in-office events-coordinating with internal teams and external vendors.
  • Maintain team calendars, space reservations, and facility documentation (e.g., floorplans, spreadsheets).
Vendor & Service Management
  • Liaise with vendors, building managers, and landlords.
  • Monitor vendor compliance (e.g., certificates of insurance, contract documentation).
  • Coordinate delivery and inventory of office supplies, pantry items, and facility-related materials.
  • Maintain accurate vendor and service documentation.
THE ESSENTIALS FOR SUCCESS:

Required
  • High school diploma or equivalent.
  • Minimum 2 years of experience in facilities, office services, customer service, shipping/receiving, or vendor management.
  • Strong customer service orientation and professional communication skills.
  • Ability to prioritize, multitask, and remain calm under pressure.
  • Comfortable engaging with all levels of staff and vendors in a warm, confident manner.
Technical Skills
  • Proficient with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Visio, OneNote, Teams, SharePoint).
  • Familiarity with modern workplace technologies (e.g., work order systems, mobile apps, digital collaboration tools).
  • Basic financial literacy (e.g., understanding simple percentages and invoice processes).
Physical Requirements
  • Able to stand, walk, and reach for extended periods (6-8 hours/day).
  • Must be able to lift up to 50 lbs. and operate material handling equipment such as pallet jacks and flatbed carts.
  • Frequent kneeling, crouching, and stooping; occasional ladder climbing and balancing.
  • Capable of supporting light warehouse operations and physical office moves.

The pay range for this position is $15.00 - $20.19 / Hour with the opportunity for eligible associates to earn additional compensation pursuant to the Company's bonus plan. Exact pay will be based on factors including, but not limited to relevant education, qualifications, certifications, experience, level, shift, geographic location, and business and organizational needs. Full-time positions are eligible for paid time off, health, dental, vision, life and disability benefits. Part-time positions are eligible for dental, vision, life, and disability benefits.
